Our company ethos is to be highly professional, forward-looking, team-oriented and family-friendly.About your new roleThis role is predominantly focused on performing project-related duties, to assist our Surveyors and Town Planning team to efficiently run projects from inception to completion in an efficient and timely manner.To be the successful applicant you will be a team orientated, flexible, confident person with a positive and cheerful outlook. You will need strong organisational skills and an eye for detail to succeed at your new role. Part-time hours can be negotiated between 22-32 per week to suit your situation. Ideally you will be able to spread your hours over four days of the week.Your key responsibilities will includeAssist with the preparation of proposals and tenders ensuring they are prepared to Harley Dykstra’s professional standards. This includes tracking progress in liaison with Project Managers and ensuring submission and follow up are completed in a timely manner.Be the first point of contact for all land development projects, building good rapport with clients, with the aim to meet and exceed their expectations, ensuring they are kept informed in relation to the progress of their project.Liaise with government agencies and contractors in a professional manner, understanding the condition management process in relation to Western Australian Planning Commission approvals.Attend to all project related file work including, but not limited to:opening, closing and archiving jobs;arranging client and site meetings for project managers;assisting with arranging site access and inductions;subdivision condition management;clearance requests/collection;lodging of plans;invoicing.Oversee that client files are maintained ensuring all documentation is recorded accurately both digitally and in hard copy as required.Assistance with development and maintenance of Quality and Safety systems.General administrative support to directors and senior production staff as required.Overseeing completion of production staff timesheets to ensure they are completed and committed in a timely manner.Reception relief as required including answering and transferring calls and dealing with enquiries.What you will need to succeedSound computer literacy, in particular the ability to use Word, Excel, Outlook.Ability to work effectively with other team members.Sound communication skills, both written and verbal and the ability to build good client rapport.Well-developed time management, organisational and administration skills.Ability to work with independence and minimal levels of supervision.Ability to use initiative.Well-developed interpersonal skills with the capacity to gain the co-operation and support of other team members to complete tasks in a team environment and in a timely manner.Experience in the land development industry would be highly regarded.Experience in implementing safety systems would also be highly regarded.A minimum of three years administration experience is preferred.How to applyYour application should include:A cover letter responding to the “what you will need to succeed” criteria and telling us why you would like to work at Harley Dykstra.A resume which clearly details your education, skills and experience, as relevant to the role.Please submit via the APPLY button in this advertisement.Closing date: 5.00 pm on Friday 28 March 2025 We reserve the right to close applications earlier if a suitable applicant is found.
