As a Business Support Officer, your key responsibilities include:
4. Provide exceptional customer service – Answer inquiries via phone, email, and face-to-face, ensuring all visitors and clients are welcomed and directed promptly and politely.
5. Manage correspondence – Ensure the timely collection, receipt, acknowledgement, and distribution of both electronic and hard-copy correspondence.
6. Maintain records and files – Manage and maintain medical and corporate records, ensuring compliance with relevant legislation and health service policies.
7. Assist with administrative tasks – Undertake word processing, desktop publishing, and preparation of letters, minutes, and other documents.
8. Support colleagues – Assist senior team members with various administrative tasks and help maintain an organised office environment.
9. Monitor office supplies – Requisition stationary and manage office equipment.
10. Oversee car bookings and maintenance – Ensure all vehicles are booked and maintained according to schedule.
Essential Criteria
To be successful in this role, you will need:
11. Experience in administrative support – Previous experience providing administrative and clerical support services.
12. Strong customer service skills – Demonstrated ability to engage professionally with clients, visitors, and staff, even in challenging situations.
13. Effective communication – Excellent verbal and written communication skills, with the ability to interact effectively with a range of people, including clients, staff, and external agencies.
14. Teamwork – Ability to collaborate and work positively with others in a team environment.
15. Computer skills – High level of competency in office administration, word processing, and data entry.
16. Attention to detail – Proven ability to manage records, ensure compliance with policies, and handle confidential information appropriately.
17. Commitment to confidentiality – Understand and apply the health service’s policy on confidentiality.
Certificate III in Business Administration or a Certificate III in Recordkeeping desirable but not essential.
