Job Title: Executive Assistant
This role provides professional administrative and business support to the Executive Director, ensuring they are organised, informed, and prepared.
The Executive Assistant contributes to a culture of collaboration and improved practices within the business support community.
The Team:
The Executive Assistant supports the Executive Director and other members of the divisional leadership team as required.
They assist the broader Business Units in achieving objectives and priorities under the direction of the Business Management Team.
Key Responsibilities:
* Provide high-quality executive level support to the Executive Director and other members of the divisional leadership team.
* Maintain confidentiality, prioritise and schedule appointments, manage stakeholders, and manage calendars and travel.
* Act as the point of contact for the Executive Director, liaising with senior internal and external stakeholders, directing and actioning requests.
* Support in the Melbourne Office by being an onsite liaison point for the facilities team, managing office and kitchen supplies, office events, couriers, and visitors.
* Develop and maintain relationships with key stakeholders to build trust and drive outcomes across the organisation.
* Maintain a positive influence within the working environment and engagement across the team and business unit.
* Manage, prepare, and review incoming correspondence, including assisting with prioritisation and sign-offs.
* Provide support with corporate expenses and procurement processes.
* Ensure teamwork and collaboration within the Business Management Team and assist team members as needed.
* Provide administrative assistance across the division.
* Develop and maintain effective working relationships.
* Liaise with peers across APRA in the coordination of administrative activities.
* Maintain an understanding of APRA-wide activities, policies, procedures, and systems and their relationship with the business unit.
About You:
* Experience providing senior administrative support and services to executive leaders, preferably within government, banking, or legal services.
* High integrity, including the ability to manage confidential and sensitive information.
* Significant communication, stakeholder management, and negotiation skills for liaising, addressing enquiries, and developing relationships with all levels of management and employees.
* High-level organisational, time management, problem-solving, and decision-making skills.
* Interpersonal and negotiation skills, addressing enquiries, and developing and maintaining relationships with both internal and external parties at all levels of seniority.
* A proactive approach in obtaining information to support decision making and service delivery.
