Peoplewise Consulting Limited – Adelaide SA This small, dedicated team currently services over 100 members, various corporate sponsors and key stakeholders who include Senior Executive, Company Directors and Government Officials here in SA.This company oversees organisational priorities and policy development and drives continued development in SA for their sector.Reporting to and directly supporting the Chief Executive Officer, this role requires a professional who can provide comprehensive Executive Assistant and Business Support across many aspects of day-to-day operational activities for the CEO and the business in its entirety including: Office Administration Management duties: Responsible for the efficient and effective management of the office administration function.Professional collaboration with internal staff, members, government representatives and community stakeholders on behalf of the CEO and the organisation.Maintaining various CRMS systems and data in relation to contracts, members and stakeholders.Manage day-to-day office functions including insurance, stationery, IT and general office maintenance.Consult with building management on office-related functions.Contribute to a positive workplace culture and drive change initiatives.Communicate with team members to ensure they are informed where relevant. Executive Assistant & Governance duties: Management of senior leadership emails and prioritisation of tasks.Strict diary management and liaison with internal and external stakeholders.Strict management and oversight of the CEO's emails and support with email and communication prioritisation.Act as committee secretary for meetings, agendas, minute taking and distribution.Timely execution of meeting agendas and action items to members.Assist with the management of board matters including all aspects of meetings.Support the events team with various coordination of events and functions for the CEO.Lead and execute the annual general meeting process and communicate effectively and professionally with senior officials. Financial & Contract Management duties: Consult external financial service providers on expenses and bank reconciliation queries.Keep records and assess expenditure in line with budgetary requirements.Analyse and provide reports using Excel on expenditure.Establish and maintain external service contracts including regular financial assessment. The ideal person for the position: It is essential that this person has experience working in an Executive Assistant role at the CEO level and can demonstrate experience working across the business managing a broad range of administrative functions.This person will have superior time management, diary management and administration management experience with advanced computer literacy skills including Word, Excel and CRMs.We will be looking for high levels of organisational skills, attention to detail and excellent communication and professional writing skills.Details of what we will be looking for: 5 years experience working in a Personal Assistant / Executive Assistant role.Experience working in the Government in a Senior EA or PA role would be highly suitable.Experience managing a broad range of office administration functions.High levels of financial acumen and understanding of accounts and expenditure.High level of governance experience including agendas, committee and meeting coordination.Exceptional diary management skills including organisation of various meetings.Exceptional internal and external stakeholder engagement and management skills.Superior communication skills including professional writing skills.Contract and service provider management and liaison with building management and the landlord.
