Learn more about us here: https://jobpathways.org.au About the Role: As the Executive Assistant, you’ll be the right hand to the CEO and provide support to the executive team to help Job Pathways achieve its strategic goals. You’ll coordinate schedules, manage information flow, organise meetings and travel, and be a key liaison across stakeholders. This dynamic role requires professionalism, attention to detail, and strong organisational and communication skills. Key Responsibilities: Executive Support to CEO: Manage the CEO’s calendar, emails, and phone communications. Coordinate and prepare agendas for meetings, take accurate minutes, track action items, and ensure timely follow-ups. Maintain a high level of confidentiality and discretion at all times. Team & Operational Support: Provide broad administrative support to the executive management team as directed. Assist in the preparation and formatting of reports, presentations, and documents for internal and external stakeholders, including executive leadership and the Board. Travel & Event Coordination: Organise complex travel arrangements for the CEO and executive team, including transportation, accommodation, and meals. Coordinate logistics for meetings, workshops, and events involving internal and external stakeholders. Information & Workflow Management: Ensure effective flow of information between executives, employees, and external partners. Maintain document filing systems and contribute to process improvements to support organisational efficiency. Mandatory Experience: Proven experience in an administrative role reporting to senior management. Excellent communication and time-management skills. Strong proficiency with Microsoft Office and digital systems. Ability to handle confidential information with discretion. Experience managing multiple projects and internal processes.
