Job Title: Academic Support Executive (Contract/Temp)Job Purpose:The Academic Support Executive provides a professional standard of assistance for the school PE and Sports department.The purpose of the role is to support the day-to-day life of the school by providing a wide range of strategic and operational administrative support, particularly in leading all areas of administrative support relating to the PE and Sports Department.Responsibilities/Duties:Administrative Tasks:Handle parents' enquiries via phone and email, ensuring issues are passed to the appropriate member of the PE & Sports team.Manage, plan, support and coordinate the administration of the PE & Sports Team, including assisting with venue bookings and scheduling meetings.Update all fixtures to calendars and to School's Buddy on a termly basis.Follow up with staff to ensure that action points are addressed throughout the week.Order student T-shirts for Sports Leaders, GCSE, and A-Level students.Manage the booking and payment of hired officials (referees).Liaise with transport for local fixtures and sport-related trips.Liaise with host schools to complete all necessary administrative tasks for overseas trips, including booking flights and creating travel booklets.Collate student information (contact details, photos, dietary and medical information) and share with staff in charge.Assist in updating and tracking budgets for local and overseas trips.Work with the Head of Sport and Director of Sport to liaise with other departments for PE & Sports events.Update all events on the PE and Sports calendar.Regularly update the PE website under the guidance of the PE and Sport Leadership team.Send parent communications under the direction of the PE and Sport Leadership team.Assist in the production of student progress reports.Events:Oversee communication with relevant departments and individuals around the organisation of events, including booking space, seating arrangements, and ensuring all information is accurate.Plan with the sound technician for sound and lighting for events.Determine if IT support is needed for events.Process all purchase orders and payments due to suppliers for events.Assist with the distribution of invites and manage guest lists for school performances and special events.Organise refreshments by liaising with food providers based on the nature of the event and number of delegates.Produce performance programmes and other related materials.Coordinate the preparation of presentations, assemblies, and celebration events overseen by SLT.Selection Criteria:Possess and develop IT skills and knowledge necessary to support the administrative needs of the school.Communicate sensitively and confidently with parents, students, teachers, and colleagues.Show initiative in decision-making and problem-solving.Be flexible and adaptable, with strong organisational skills and time management.Demonstrate forward-thinking and the ability to work independently.Be a team player, maintaining a positive attitude.Display honesty and integrity in all interactions.Proactively seek professional growth and support team members.Safe Recruitment Practices:As a school committed to high standards, we conduct thorough pre-employment checks on candidate references and verify qualifications.We prioritise careful scrutiny of checks to ensure a safe environment for our students.The duties and responsibilities of this post may vary according to the changing demands of the school.This job description may be reviewed at the reasonable discretion of the Head of School.#J-18808-Ljbffr
