The role:
The Senior Secretariat Services Officer will be responsible for providing secretariat services to eHealth Queensland sponsored Executive Committees, subcommittees or other forums by preparing submissions and briefing papers for meetings, provide guidance and support on the implementation of secretariat policies, procedures and templates.
In addition to this, you will be responsible for:
1. Preparing, maintaining and disseminating high quality documentation and other relevant information for the support committee(s) including minutes, actions and decisions and provide ongoing advice through the provision of project plans, status reports, issues logs and completion reports, ensuring the retention of appropriate records.
2. Using high level judgement and communication skills, guide and inform senior management and stakeholders as to meeting and governance parameters, outcomes and decisions.
3. Developing positive, collaborative working relationships with Queensland Health senior management and support staff across Queensland Health.
4. Developing and managing stakeholder relationships including senior management and support staff, initiating and facilitating open communication and disseminating business information.
5. Analysing secretariat policies, procedures and templates, identify alternative approaches to improve work practices and implement changes to increase acceptance and stakeholder capability to comply with and adopt ICT Governance processes and relevant Terms of Reference.
6. Positively contributing to the working environment within the Policy and Governance Services team including contribution to continuous improvement, a collaborative culture and an achievement focussed team that accomplishes unit and organisational objectives.

• Advanced Microsoft Office Suite.
• Excellent communication and interpersonal skills with a diplomatic approach and the ability to liaise and relate to a wide range of
stakeholders including senior and executive stakeholders.
• Advanced time management and work prioritisation skills.
Knowledge
• ICT Governance
• General knowledge of project management methodology and gateway assurance
• Previous Executive support to Senior Management - will be highly regarded.
• Experience working within either the Government or Health sectors.
