In our longevity branch our aim is to provide personalised patient assessments, investigations and treatments, empowering the patient to lead a long, healthy, and confident life. The team will consist of doctors, an exercise physiologist, nurse and dietician. We will have an aesthetics branch which offers anti-aging treatments, injectables and laser therapies.The opportunity/role description: The Receptionist is the first point of contact for clients at the clinic. This role is crucial in providing exceptional client service while efficiently managing a fast-paced reception desk, including client check-ins, appointment scheduling, and answering phones, stock control, opening and closing the clinic and billing clients and balancing of end of day. The Receptionist plays a vital role in ensuring the smooth flow of the clinic's daily activities while maintaining client confidentiality and accuracy of data managementKey Responsibilities: Client Interaction:Greet and welcome clients with a calm, friendly, professional attitudeManage client check-in/check-out processes, including billing and updating client records.Answer phone calls, direct inquiries, and schedule appointments efficiently and accurately.Provide clients with information about the clinic's services, billing enquiries.Appointment Scheduling:Schedule, reschedule, and confirm client's appointments.Maintain the appointment scheduling and communicate any changes or delays to both staff and clients.Coordinate and rebook follow-up appointments for clients.Administrative Support:Manage client records, both electronic and paper, ensuring accuracy and confidentiality.Manage billing inquiries, process payments, and balance cash drawers at the end of the day.Maintain the cleanliness and organisation of the reception and waiting area.Communication:Answer client enquiries and provide clear, accurate information about services.Effectively communicate client concerns or scheduling issues to appropriate staffRelay messages between clients and staff, ensuring timely and accurate communication.General Office Duties:Handle incoming and outgoing emails, and other clerical tasks.Monitor and order office supplies & clinic consumables monthlyMonitor and order/stocktake clinic inventory monthlyAssist the clinic staff with other administrative duties as requiredRelief of Practice Manager duties when on leave.Clinic Support:Assist with marketing initiatives, including patient education seminars, promotional events, and social media content related to skincare.Perform basic dermal treatments on clients if required.Qualifications: At least 1-2 years of experience in a medical or aesthetic clinic.Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and medical practice management software.Excellent communication and interpersonal skills.Ability to multitask and manage time effectively in a fast-paced environment.Strong attention to detail and accuracy in handling client information.Ability to handle sensitive and confidential information
