The Program Support role will be involved in a broad range of activities to support project teams responsible for the development, delivery and deployment of ICT transformation to support the Government’s Aged Care Reform activities.Key duties and responsibilitiesThe role is responsible for providing various governance functions including secretariat support to an IT governance board. This includes scheduling, reporting, tracking, and escalation of related activities.Support for other governance processes within the Aged Care Funding Reform and Systems Branch may be required.The role requires the preparation of communication suitable for senior executive and audiences.Prepare and distribute meeting agendas, minutes, and materials for each governance meeting.Provide advice and recommendations to content owners to ensure meeting materials are fit-for-purpose.Write detailed minutes in line with style manual and agreed templates.Manage correspondence and documentation, including decisions and actions for follow up.Maintain up-to-date Terms of Reference and other enabling documentation for each governance forum.Build and sustain effective working relationships with a broad range of stakeholders.Escalate risks, issues, and decisions to the Assistant Director, Program Support as required.Work closely with the Program Support Section to ensure integration of governance activities with financial reporting, project management, risk, and assurance activities.Foster a positive and productive work environment.Contribute to the development of team goals, work plans and broader section planning aligning to the broader divisional objectives.Manage a multidisciplinary team’s mailbox.Assist with other tasks and activities outside of these duties, to support the section to achieve its goals and to meet objectives.Key CapabilitiesProduce high quality, timely outcomes.Strong written and communication skills with the ability to understand the audience and context and effectively tailor communication and communication styles.Ability to prioritise tasks, work effectively under pressure, and adapt to changing priorities with tight timeframes.Experience engaging with stakeholders to identify opportunities, achieve outcomes and facilitate cooperation.Demonstrated ability to work independently with initiative and as part of a team.Excellent organisational and time management skills, and strong attention to detail.Demonstrated strategic thinking, analytic and problem-solving skills.Leadership, communication, and interpersonal skills.Sound decision making and judgment to provide advice, analyse information, problem solve, or risk evaluation and in the context of the environment.Demonstrated ability to use Microsoft Office suite of products, and project management and reporting tools.Excellent records management experience.Knowledge and Qualifications3+ years recent experience in a similar role within a medium to large organisation with a strong understanding of the nature and role of ICT development, and delivery in a government context.CriteriaThe buyer has specified that each candidate must provide a one page pitch to address all criteria specified.
