The Role
As the Property Administrator, you will play a crucial role in contributing to the achievement of business objectives and ensuring the smooth operation of a retail centre. Your responsibilities will encompass financial management, administrative tasks, invoicing, record-keeping, safety management, and providing operational support to the Retail Manager.
Key Responsibilities:
* Check and issue monthly tenant statements promptly.
* Assist in collecting tenancy rental charges and issue recovery letters.
* Calculate interest on outstanding arrears and raise charges in consultation with the Retail Manager.
* Process rental reviews, ensuring accurate adjustments.
* Maintain and update systems and procedures.
* Provide weekly arrears updates to the Retail Manager and Managing Director.
* Chase monthly sales figures and enter data into the system.
* Match creditor invoices daily and forward them for verification and approval.
* Maintain lists of tenants and contractors, ensuring up-to-date contact information.
* Attend to customer accidents/incidents, complete Incident Report Forms, and follow safety protocols.
* Manage the Tenant Bank Guarantee Register and Critical Dates Diary.
* Balan ce Petty Cash and forward reconciliation to the Finance Director.
* Process Casual Leasing inquiries and send out required forms and invoices.
* Maintain various registers, including CPR, first aid certificates, Key Register, and more.
* Source quotes for operational and maintenance issues.
* Provide support to the Retail Manager to ensure the smooth operation of the centre.
Qualifications and Skills:
* Previous experience in a similar role in retail or asset management.
* Strong organizational and time-management skills.
* Excellent communication and interpersonal abilities.
* Proficient in Microsoft Office Suite and other relevant software.
* Knowledge of financial and administrative processes.
* Ability to handle multiple tasks efficiently and meet deadlines.
