What does the job look like?

We have an exciting opportunity for you to become a key player in our organisation as an Executive Assistant to one of our Presidents. Key areas:
1. Function as the primary point of contact for the President of Fleet & Procurement, efficiently handling and prioritizing urgent matters to ensure the optimal use of their time
2. Manage complex and changing diaries, including scheduling, negotiating appointments and meetings to ensure competing demands are effectively managed
3. Handle travel management and itinerary planning
4. Identify opportunities for continuous improvement to streamline the effectiveness of administrative activities in the Fleet and Procurement Business Unit
5. Take charge of events and special projects, creating impactful PowerPoint presentations, special reports, documents, and agenda materials
6. Manage, prepare, and review high-level complex communications, ensuring accuracy and timeliness to meet business requirements
7. Assist in the coordination of cyclical people processes, such as scheduling performance review meetings, management of excess annual leave etc

This is not your typical Executive Assistant role. We need someone who can think creatively, is driven, and contributes significantly to our organisation's success. As an impactful member of our team, you will work closely with the executive leadership, supporting them in various administrative, and operational capacities. You can demonstrate:
8. Proven experience as an Executive Assistant/ Project Coordinator or similar role supporting high-level executives – min. 10+ years desirable
9. Excellent organisational and time management skills, with the ability to multitask and prioritize effectively
10. Exceptional communication skills, both written and verbal, for clear and concise interactions with internal and external stakeholders
11. Strong research and analytical abilities to provide valuable insights to aid decision-making processes
12. Proficiency in MS Office, particularly in creating engaging PowerPoint presentations
13. Ability to adapt quickly to changing priorities and work well under pressure
