They are now looking for a highly organised and motivated PA to join their welcoming team and support the General Manager’s Office. The Role Reporting directly to the General Manager, you be responsible for providing essential administrative support, will be the focal point for communications within the organisation and will ensure the smooth operation of the General Manager’s office. With demonstrated experience in an administrative support role, your positive attitude, motivation and can-do attitude will assist in ensuring the continued success of this already well-established and highly respected company Duties Ensure the office of the General Manager operates smoothly and efficiently. Act as the primary point of contact for all incoming communication, including screening and prioritising incoming calls and emails. Manage the General Manager's calendar, schedule appointments, meetings, and travel arrangements. Prepare and distribute correspondence, reports, and presentations. Microsoft SharePoint administration including communications and document control. Maintain and update office records, including confidential files and documents. Assist in preparing and reviewing documents, contracts, and agreements. Coordinate internal and external communications on behalf of the General Manager, ensuring timely and accurate dissemination of information. Liaise with various departments and external stakeholders to gather information, resolve inquiries, and facilitate smooth communication channels. Prepare meeting agendas, take minutes, and distribute them to relevant stakeholders. Assist in organising company events, conferences, and team-building activities Utilise advanced features and functions of Microsoft Office applications to enhance efficiency and productivity in daily tasks. Periodical review of admin functions and procedures and make recommendations for continuous improvement. Provide technical support and guidance to colleagues regarding Microsoft Office applications, troubleshooting any issues that may arise. Skills and Experience Proven experience as a Personal Assistant, Office Assistant, or in a similar administrative role. Excellent organisational and time management skills, with the ability to prioritise and multitask effectively. Strong verbal and written communication skills, with keen attention to detail. Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, SharePoint 365) with strong skills in document control, formatting, data analysis, and presentation creation. Ability to maintain confidentiality and handle sensitive information with discretion. Strong interpersonal skills to interact with individuals at all levels within the organisation. A high degree of professionalism and integrity in dealing with internal and external stakeholders. Flexibility and adaptability to work in a fast-paced, dynamic environment.
