About You :

* Complete NDIS Quality and Safeguards Commission’s Worker Orientation Module: ‘Quality, Safety and You’ and other required training modules

Position Summary :
The Administrator role focuses on efficiently managing office operations while ensuring the clinic maintains a professional and welcoming appearance at all times. Key responsibilities include maintaining the cleanliness of the clinic, handling clerical tasks, fleet management, managing communication between participants and therapists, consistently updating data and client records, overseeing invoicing and reconciliation processes, and providing support to senior roles as needed. Strong organisational and communication skills are essential, along with the ability to follow systems and processes accurately. Collaboration, innovation, and a growth mindset are encouraged to contribute to the team's success.
Key Requirements :
Experience:
* 2 years minimum experience in an administration or similar role
* Knowledge and experience in NDIS
* Experience managing an office efficiently with a focus on presentation and quality
* Proficient computer skills and knowledge
* Knowledge of invoicing processes

We’re looking for an organised and proactive Admin Assistant who’s excited about making a difference in a creative, committed, and supportive environment. This role includes providing high-quality customer service to participants and stakeholders, welcoming visitors, managing calls, and ensuring all communications are handled professionally. Confidentiality is paramount, as is embracing our company values and following all policies and procedures. The role requires maintaining a cooperative team environment through open communication, participating in team meetings, and coordinating with the Clinical Services Coordinator and Manager of Operations. Key administrative tasks involve managing documents in Cliniko, sorting emails and deliveries, handling office equipment, coordinating supplier quotes, and overseeing clinic maintenance. Facilities management includes allocating fleet vehicles, managing cleanliness, and ensuring a safe work environment. Financial duties include issuing invoices, reconciling payments, managing petty cash, monitoring office supply costs, and reporting to the Finance Manager on invoicing and debt collection. The role also supports our leadership team by performing additional tasks as needed, such as coordinating events.
