The Executive Assistant will also work as a senior member of the Executive & Administrative Support team, working collaboratively with the Senior Executive Assistant to the CEO and Office Experience Managers, supporting the team to play a critical role in ensuring smooth executive operations and office management.ResponsibilitiesExecutive & Administrative SupportProvides comprehensive support to multiple Executive General Managers and/or other Executives, ensuring their day-to-day schedules and priorities are managed effectively.Manages and maintains a number of complex and busy calendars, coordinating meetings, travel, and appointments and client contact.Applies strong judgment, discretion, and efficiency to manage emails, phone calls, and other correspondence effectively.Prepares and edits key documents such as reports, presentations, and meeting documents.Is the primary point of contact between Executive General Managers and Executives and key internal and external stakeholders.Business SupportEmploys strong task management, communication and problem-solving skills to assist allocated Executive General Manager or other Executives with key business initiatives, strategic projects or other organisational activities.Plays a crucial liaison role between the CEO and Executive Leadership team, ensuring seamless communication, efficiency, and alignment across leadership.Conducts research and prepares reports, presentations, and business documents.Tracks and follows up on key action items, ensuring deadlines are met.Supports the Senior Executive Assistant to the CEO during periods of leave or high-volume workload.Communication & Stakeholder EngagementActs as the first point of contact for Executive General Managers and other Executives, ensuring professional and corporate communication.Handles confidential and sensitive information with the utmost discretion.Builds and maintains relationships with key stakeholders, both internally and externally.Drafts and proofreads business correspondence, reports, and announcements.Represents allocated Executive General Manager or other Executives professionally in internal and external meetings and at events when required.Meeting & Event CoordinationAssists with preparation for Executive meetings, client meetings, and offsite events.Prepares agendas, meeting minutes, and follow-up action items.Ensures all meeting participants are prepared with necessary materials and briefings.Arranges logistics for meetings or events, including liaising with client’s Executive Assistants or other administrative assistants.Manages and supports the Office Experience Managers in the delivery of a variety of events and functions to ensure professional and enjoyable office experiences.DIVERSITY & INCLUSIONWe celebrate the diversity of people, and we pride ourselves on ensuring everyone belongs.
