Executive Assistant to the Vice President of Operations
We are seeking a highly organised, proactive, and motivated Executive Assistant to provide high-level and confidential support to the Vice President of Operations.
About the Role
* Manage the Vice President's complex and constantly changing calendar, ensuring the most effective use of time.
* Prioritise meetings and events according to business needs, urgency, and strategic importance.
* Take initiative to re-organise schedules when unexpected changes arise, including managing conflicting meetings and travel arrangements.
* Ensure that the Vice President is always prepared for meetings by providing relevant documentation, briefings, and background information in advance.
* Follow-up and track actions and minutes arising from meetings.
Key Requirements
* Significant experience of applying initiative and judgement to ambiguous and changing situations.
* Ability to take comprehensive meeting minutes/action points.
* Substantial experience in proactive ownership and action of tasks, coordinating with multiple stakeholders and providing regular updates.
* Significant experience with calendar scheduling/meeting management/expenses management.
* Confident, resilient, tenacious and flexible approach.
* Ability to quickly learn new programmes and processes.
