The Client Our client provides a range of services across landscape architecture, urban planning & urban design. They are seeking a proactive and versatile Office Assistant join a dynamic team. In this pivotal role, you will provide essential support across multiple functions, from administrative assistance to office management. You'll be responsible for ensuring the smooth day-to-day operation of the office, fostering a positive environment for both staff and clients. If you have strong organisational skills, enjoy multitasking, and thrive in a fast-paced office environment, we'd love to hear from you!Key Responsibilities:Administrative Support:Answer and direct phone calls, emails, and in-person inquiries.Prepare and format documents, including tenders and project-related tasks.Maintain and update databases, ensuring accuracy.Manage filing systems (both physical and digital).Arrange travel and accommodation when needed.Handle incoming and outgoing mail, couriers, and deliveries.Schedule and coordinate meetings, booking rooms, and arranging refreshments.Office Management:Ensure the office is organized and presentable.Monitor and order office and kitchen supplies within budget.Liaise with suppliers and service providers for maintenance.Coordinate with IT to troubleshoot basic office equipment issues.Assist with event planning and organizing company functions.Ensure compliance with health and safety regulations.Project and Team Support:Assist various teams with project coordination and administrative tasks.Ensure timely and accurate data entry into project management software.Support HR with tasks such as interview coordination and onboarding.Assist the finance team with basic bookkeeping tasks.Skills & Qualifications:Previous experience in office administration, customer service, or operations is preferred.Strong organizational skills with the ability to multitask.Proficiency in Microsoft Office (Word, Excel, PowerPoint); knowledge of project management software is a plus.Excellent written and verbal communication skills.Strong interpersonal skills and a positive, proactive attitude.Ability to work independently and as part of a team.Attention to detail and problem-solving abilities.A passion for supporting others and promoting a positive workplace culture.Key Performance Indicators:Efficient management of front-of-office with excellent customer service.Promotion of a positive workplace culture.Prompt and courteous handling of incoming calls.Accurate and timely data entry.Efficient management of office supplies and maintenance within budget.Working Conditions: This is an office-based role with standard business hours.
