We bring important day-to-day services together in one department to make things easy and seamless for Victorians and businesses. We are doing this by connecting and digitising our systems and platforms across state and local government as well as streamlining our corporate and procurement services.About the roleThe DLA facilitates strong communication between the Ministerial Office (MO) and DGS. The role assists the Senior Departmental Officers (DLO) and provides specialist administrative and corporate support as required on matters strictly related to the efficient functioning of the MO in relation to DGS.The DLA is expected to work from the office.Key responsibilities of the role include:Responding to contacts from the public and escalating their concerns and enquiries when necessary.Assisting the MO to handle correspondence efficiently and appropriately.Appropriately channelling information between the MO and DGS as required.Providing administrative support to the DLO and the MO where appropriate.About youTo be considered for the role, you must be able to demonstrate:Demonstrated knowledge of or familiarity with current parliamentary, cabinet and legislative processes.Knowledge of, and/or experience in, government and administrative processes.Uses excellent communication skills to build mutually beneficial partnerships.Demonstrated ability to work under pressure, in restrictive timeframes.Adapts systems and processes quickly to changed priorities and situations.Mandatory requirementsHandling of sensitive and/or Cabinet-in-Confidence material in a strictly confidential and discreet manner.Availability to work outside standard business hours when required.Key AccountabilitiesIdentify the requirements of the Minister and communicate those requirements to DGS and work with DGS staff to ensure that those requirements are met.Efficiently and appropriately handle correspondence, including coordinating the briefing process and appropriately channelling information between the MO and DGS as required.Work closely with the DLO to ensure that information and document flows are timely, appropriately routed, and able to be tracked, identifying where there may be delays and proactively working to resolve these issues.Develop and manage templates, processes, and records management systems to support the work of the office.Provide specialist administrative and corporate support for the Minister and the MO in relation to Cabinet, legislative and parliamentary business, including Cabinet briefings and Parliamentary questions.This position is only open to applicants with relevant rights to work in Australia.How to applyApply before the advertised closing date 11:59pm on 20 March 2025.
