We're hiring an Administration & Executive Assistant responsible for maintaining a well-functioning office environment and providing essential support to the EBS delivery team with a particular focus on the company's founders. You will ensure the smooth execution of administrative tasks, oversee office resources, and manage general office processes. This role will be a rock star at providing administration excellence by handling tasks that ensure efficiency, time management, and communication across the administrative function.

THE ROLE: We are seeking a highly organised Administration and Executive Assistant to support our leadership and office operations. In this dual role, you will provide high-level administrative support to executives while overseeing day-to-day office functions, maintaining supplies, managing budgets, and fostering a positive office environment. This role requires 3+ years of experience in office management or executive support.
Key Responsibilities:
* Office Operations: Coordinate day-to-day office activities, ensure equipment and facilities are maintained, and handle office maintenance issues.
* Administrative Support: Assist with client communications, managing correspondence, handling calls, and providing clerical support to team members.
* Office Supplies: Monitor inventory levels, order office supplies, and manage vendor relationships.
* Budget Management: Manage office budget, handle billing, and approve office-related expenses.
* Onboarding and Training: Facilitate the onboarding process for new hires.
* Calendar Management: Schedule and coordinate appointments and meetings.
* Communication: Manage inbound and outbound communications, including screening calls and emails.
* Meeting Preparation: Prepare agendas, organise materials, and take minutes.
* Project Assistance: Support founder-led projects by coordinating resources and tracking progress.
* Document Management: Organise and maintain documents for easy retrieval.
* Confidentiality and Discretion: Handle sensitive information with confidentiality.
* Health and Safety: Support safety measures and ensure the office environment meets health and safety regulations.
Skills Required:
* 3-5 years of experience as an Administration, Executive Assistant or similar role.
* Exceptional organizational skills, strong verbal and written communication, and proficiency in Google Suite and Microsoft Office.
* Strong interpersonal skills, ability to multitask, proactive problem-solver, and adaptable.
* Ability to think critically and solve problems effectively.
* High level of empathy, motivation, and dedication to client success.
