MDHS is looking for a dynamic and experienced Administration Officer to join our team. As the Project Administration Officer, you will be responsible for supporting the organisation's transition to the new $115 million Maryborough Hospital.
Working closely with the Executive Director and Projects team, you will be responsible for project documentation/reporting, meeting scheduling/secretariat, and ad hoc project delivery.

Key Responsibilities
* Engage with Victorian Health Building Authority (VHBA), Executive and Management teams to build effective relationships to deliver to their needs.
* Support the Hospital Redevelopment transition and go-live activities to deliver a smooth move.
* Schedule and provide secretariat support to user, change champion, working group, training/education meetings in line with organisational requirements and the hospital redevelopment timelines.
* Support the collation of regular and ad-hoc reports on project-related matters, including activities and critical project milestones, in line with VHBA and MDHS standards.
* Assist in the development of documentation to communicate to internal and external stakeholders.
* Ensure all project documentation, including invoice checking & processing, is appropriately and accurately recorded.
* Provide confidential, quality, and efficient executive assistance and support to the Executive Director and Team.
* Maintain effective communication and interpersonal relationships across a range of internal and external stakeholders.
* Maintain excellent standards of customer service and administration within the project and in a high-pressure work environment requiring tact, judgement, and discretion.
Key Selection Criteria
Qualifications / Experience
* Administrative support experience in a corporate or health services environment.
Specialist Expertise
* Recent experience supporting health or project administration in a complex and stakeholder-centric environment.
* Strong organisational skills with attention to detail and ability to manage multiple priorities.
* Highly developed writing skills with the ability to review papers and other documentation efficiently.
* Sound understanding of the importance of confidentiality and proven discretion in the handling of sensitive and confidential matters.
* Ability to prioritise work effectively and meet required deadlines and schedules with minimal supervision in an environment with multiple demands.
* Well-developed time management skills to plan, organise, and prioritise work for self and senior management in an environment with multiple demands.
* Exceptional customer service capabilities with the ability to troubleshoot methodically and escalate incidents when appropriate to meet business objectives.
Personal Qualities
* Demonstrated well-developed interpersonal, written, and oral communication skills including the ability to interact effectively with stakeholders and foster good relations, obtain feedback, and ensure ongoing co-operation.
* Ability to be flexible with changing priorities and demonstrate initiative.
* Planning and organisational skills, with the ability to develop, improve and maintain office systems and processes, including a keen eye for detail.
