We are seeking a detail-oriented and driven Company Secretariat Administrator to join our Secretariat Team based in Sydney.
Working as an integral member of the Secretariat Team, this full-time opportunity will support our global shareholders and board members. We are seeking a team player, someone who is prepared to help others and collaborate to deliver an excellent experience for our stakeholders. In return, we will support your professional development by mentoring and coaching you to further develop your skills.
Working with an energetic and high performing team, this position offers a variety of work and will see you involved in:
1. Attending to filings with ASIC, and other government regulators
2. Maintenance of electronic corporate records for each subsidiary (Computershare database)
3. Ensuring all company and individual (where required) architecture, security and design practitioner licenses remain current and license records are updated in GRC in timely manner
4. Assistance with drafting board/shareholder minutes and preparing board packs
5. Liaising with notary publics, embassies and DFAT to support overseas document legalization
6. Providing information to GHD teams for proposals/tenders/bids
7. Attending to external audit requests
8. General support to Company Secretary and Assistant Company Secretary – APAC including monitoring Secretariat inbox, updating intranet page and general filing
What will you bring to the team?
9. Minimum of 2 years’ experience in the similar role
10. With basic to intermediate understanding of Company Secretariat processes preferred
11. Proven experience in clearly conveying and explaining regulations, policies, processes, and guidelines to diverse stakeholders.
12. Demonstrated ability to maintain high accuracy and thoroughness in all tasks and documentation
13. Demonstrated ability to manage time efficiently, prioritize tasks, and perform well under pressure while meeting deadlines.
14. Advanced skills in Microsoft Office Suite (Word, Excel) and Adobe Acrobat, with a strong capability to utilize these tools effectively.
15. Proven aptitude for coordinating tasks and understanding when to escalate issues appropriately.
The successful incumbent will need to be based in our Piccadilly, Sydney GHD office.
