About the Role We are seeking a proactive and detail-oriented Administrative Officer to join our Properties, Facilities & Development (PF&D) team on a full-time, fixed-term basis until July 2026, covering maternity leave. In this diverse and fast-paced role, you will primarily support the Commercial Team, which manages the leasing and tenanting of Curtin owned and leased properties. Additionally, you will assist the Director of PF&D with executive tasks and provide reception support as needed, ensuring the seamless operation of our busy, deadline-driven environment. Key Responsibilities Administrative Support: Provide high-level administrative assistance to the Commercial team, including managing correspondence, maintaining accurate records, and handling sensitive information with discretion. Diary and Inbox Management: Coordinate and manage complex schedules and communications for the Director, ensuring priorities are effectively addressed. Financial Administration: Process invoices, raise purchase orders, and assist support smooth financial operations. Document Management: Prepare, edit, and format documents, reports, and presentations with precision, using advanced Microsoft Office and Adobe Acrobat skills. Event Coordination: Plan and manage meetings, workshops, and events, including venue booking, catering, and preparation of materials. Process Optimisation: Identify and implement improvements to administrative systems and workflows, ensuring efficiency and consistency across the team. What You’ll Bring Demonstrated general administration experience in a fast-paced office environment. Experience with legal administration is highly desirable. Advanced skillset and proficiency using Microsoft Office and Adobe Acrobat. Exceptional time management and multitasking abilities to manage competing priorities effectively. Strong commitment to handling sensitive information with discretion. A proactive attitude and excellent communication skills to collaborate effectively across teams. Flexibility to pivot between tasks in a varied role.
