About the role: The Workforce Planning Coordinator plays a vital role in ensuring the efficient allocation of flight crew resources, maintaining compliance with regulatory standards, and facilitating the smooth execution of flight operations. Their meticulous attention to detail and proactive approach contribute to the overall safety, reliability, and success of Aviair's operations. Key Responsibilities: Roster Preparation and Publication: The coordinator is responsible for creating and disseminating accurate rosters that align with operational requirements and crew availability. Recency Verification: Ensuring that assigned pilots meet the company's and client's recency requirements, guaranteeing that only qualified personnel are scheduled for duty. Compliance Oversight: The coordinator meticulously reviews flight assignments to ensure adherence to regulatory mandates and award conditions, maintaining the highest standards of safety and operational compliance. Logistics Coordination: Planning and coordinating air transport, accommodation, and ground transport for flight crew, optimising resources to facilitate smooth transitions between assignments. Allowance, Annual Leave and Reimbursement Management: Assisting in managing allowances, annual leave requests, and reimbursement claims for crew members, ensuring timely processing and accurate documentation. Policy Adherence and Professional Development: The coordinator strictly adheres to all company policies and procedures, actively engaging in meetings, learning opportunities, and professional development to enhance operational effectiveness. Collaboration and Adaptability: Collaborating with Operations staff to address schedule disruptions and operational changes promptly, maintaining flexibility and adaptability in response to dynamic operational environments. Crew Records: Filing of administrative, recency, and training records on the Company Core System and on the Company One Drive. Annual Leave Management: The coordinator is required to update and monitor the Annual Leave Dashboard to anticipate leave patterns and ensure that optimal staffing levels are maintained throughout the year. To be successful in this role: Prior aviation experience within the flight operations department is desirable. Familiarity with scheduling rules applicable to pilots or ability to quickly grasp them. Proficiency in computer literacy including Microsoft programs. Working knowledge of Air Maestro, or the capacity to learn and adapt to new software systems. Demonstrating communication skills, both verbal and written. Maintaining a high level of confidentiality. Ability to work flexibly with minimal daily supervision and guidance.
