Permanent Role
The Executive Assistant will provide exceptional support to the Managing Director and a small team, enabling them to achieve outstanding sales performance and deliver exceptional client service.
This position involves frequent interaction with various stakeholders at all levels within the organisation and external parties.
The successful candidate must exercise sound judgment, maintain confidentiality and effectively manage multiple tasks with shifting priorities.
This role is initially contract-based for 6 months, with the view to convert the successful applicant to a permanent employee due to our global hiring policy.
This position suits an experienced Personal Assistant, Team Assistant, Executive Assistant or Desk Assistant from the Asset Management, Investment Banking or Wealth Management industries with over 3+ years of relevant experience.
Key Responsibilities:
* Complex diary management, including coordination of internal and external meetings, calls, video conferences.
* Maintain team diaries and contacts.
* Telephone answering is a priority; accurate and prompt messages and assistance.
* Travel arrangements, booking flights and accommodation for the team, while being aware of the whereabouts of bankers, client activities and travel policy guidelines.
* Expense reports: accurately complete expense reports for the team each month.
* Couriers and mail management: coordinate couriers and outgoing mail, distribute incoming mail.
* General administration: document production (Word) when required, ad hoc project work.
* Client entertainment: organise lunches, dinners, events and functions.
* Produce support materials necessary for meetings and complete timely follow-up processes.
* Support Investment Roadshows and Boardroom Briefings.
Requirements:
* Over 3 years' experience in a support role; PA, EA, or a Team Assistant role ideally from an asset manager or similar financial services environment.
* Bachelor degree in Commerce or related field with exceptional results.
* Ability to build strong lasting relationships.
* Excellent communication skills (written and verbal).
