South West Community Legal Centre Inc. is a not for profit community-based organisation providing quality legal advice, information and education targeted to low income, disadvantaged or marginalised people across the South West.
Our staff are committed to providing access to justice services in their Bunbury office and through Outreach to six other regional centres - Bridgetown, Busselton, Collie, Harvey, Manjimup and Margaret River. Our centre also provides key Duty Lawyer services in the Bunbury and Busselton Magistrates courts.
Position Purpose
We are seeking a highly skilled Administration Officer with strong technical expertise and exceptional client service abilities to support our operations and ensure seamless expansion of our service delivery. As an Administration Officer, you will be the first point of contact for clients and play a critical role in supporting our legal and administrative teams. This role requires a tech-savvy professional with a strong customer focus, exceptional organisational skills, and the ability to streamline processes using digital tools. This position is required to be worked in-person at our office in Bunbury. First Nations applicants are encouraged to apply.
Key Responsibilities
* Manage client bookings, conflict checks, and intake processes efficiently.
* Coordinate SWCLC’s outreach appointment schedule and assist in logistical planning.
* Provide high-quality client service, ensuring referrals to appropriate external agencies and specialist services.
* Appropriately navigate and guide difficult conversations with distressed and emotionally dysregulated people.
* Deliver comprehensive administrative support to legal and operational teams, including answering calls, scheduling appointments, and managing correspondence.
* Perform receptionist duties, including responding to in-person enquiries, handling documentation, and ensuring a welcoming presence.
* Accurately input, maintain, and retrieve data from SWCLC’s management systems.
* Assist with document management, including preparation for destruction.
* Contribute to process improvements, identifying opportunities to enhance efficiency and client experience.
* Actively adopt and promote new technologies to streamline service delivery and administrative workflows.
* Provide relief support as required and assist with additional duties as directed.
Skills and Experience Required
* Proven experience in client service roles, ideally within the legal, not-for-profit, healthcare, or community services sectors.
* Strong digital literacy with advanced proficiency in Microsoft Office Suite, Practice Management platforms, cloud-based systems, and document management tools.
* Ability to navigate and troubleshoot technology, ensuring smooth operation of digital systems.
* Demonstrated experience in optimising workflows and introducing technology-driven efficiencies.
* Excellent verbal and written communication skills, with the ability to interact professionally with clients from diverse backgrounds.
* Strong problem-solving skills, with a proactive and solutions-focused mindset.
* Ability to set priorities, manage time effectively, and work both autonomously and collaboratively.
* High attention to detail, particularly in client interaction logging and appointment management.
* Ability to remain calm under pressure while handling sensitive legal and community matters.
* Commitment to maintaining a high level of confidentiality and adhering to organisational policies and procedures.
* Experience working with legal or case management systems (e.g., CLASS, ActionStep, or similar).
* Paralegal or legal industry experience.
* Ability to analyse data and draft reports and case studies.
* Experience in process automation or using technology to enhance service delivery.
* Website management and social media engagement.
* Residing in Bunbury or surrounding suburbs highly desirable.
Qualifications
* Minimum five years’ experience in a similar role.
* A Diploma or Certificate in Business Administration (or equivalent qualification).
* Legal industry experience (highly desirable).
* National Police Clearance.
