About the Curtin Institute for Data Science
The Curtin Institute for Data Science (CIDS) is an interdisciplinary knowledge accelerator established in 2016 to meet increasing demand for computational modelling. Our aim is to apply data science and high-performance computing to provide innovative solutions to the real-world problems of government, industry, and academia. The Institute supports a growing network of SMEs, external organisations, government departments, researchers, co-operative research centres, and not-for-profits across various sectors such as, but not limited to, health sciences, manufacturing, transport, art and culture, astronomy, agriculture, and aquaculture. At present the Institute would typically contribute to 30-40 research projects per annum, working with over 50 external organisations.
Engaging with the Curtin Institute for Data Science means collaborating with a team of specialists who are highly trained in data science, high-performance computing, software development, project coordination and business development. The Institute has a dedicated team of over 30 specialist technical staff with diverse backgrounds in computer sciences, physics, mathematics, computational chemistry and biology, bioinformatics, and remote sensing. It also provides access to over 200 research academics drawn from across Curtin University who specialise in applications of data science in different research settings.
The team is led by Professor Melanie Johnston-Hollitt, a professor of astrophysics, with over 20 years' experience managing multi-disciplinary, international teams.
Your new role
We are seeking a detail orientated Administration Officer to join our team. This role supports our technical team with their administrative and operational requests, organises internal and external events, support and coordinates our HDR students and works closely with Curtin’s central services.
Your key tasks will include:
1. Provide comprehensive administrative and operational support to the CIDS team.
2. Liaise with Curtin’s Central Services on behalf of the CIDS, including the University’s Travel Team to arrange and coordinate business trips for CIDS staff.
3. Organise and coordinate internal and (to a lesser extend) external events, including but not limited to sourcing and organising venues, catering, suppliers, ticketing, and promotional activities.
4. Support and coordinate our HDR students (onboarding, organising milestone presentation timeslots and providing logistical and administrative support).
5. Establish and maintain efficient administrative processes and practices.
6. Respond to incoming enquiries and requests from internal and external stakeholders in a proactive, accurate, customer focused and professional manner.
7. Support our marketing team, if required.
Essentials Skills:
8. Proficiency in the Microsoft Office suite, particularly Outlook and Word
9. Strong administrative experience in a similar role, preferably in a tertiary education setting
10. Excellent prioritisation and time management skills to meet deadlines
11. Strong attention to detail
12. Exceptional interpersonal, written, and oral communication abilities
13. Ability to consult and liaise effectively with diverse groups of people
14. Cross-cultural sensitivity and awareness
