About the Role: The Service Administrator will play a crucial role in supporting both internal and external customers, ensuring all service-related inquiries and requests are handled professionally and efficiently.
The successful candidate will be responsible for coordinating service operations, managing customer interactions, and maintaining accurate records to support the service team.
Key Responsibilities: Manage and facilitate customer inquiries over the phone, email, or in person, providing prompt and professional support.
Coordinate service schedules, dispatch technicians, and ensure efficient job allocation.
Monitor overdue reports and follow up on outstanding services or works.
Assist in optimizing service runs between field staff to improve efficiency.
Maintain accurate records of service requests, job details, and testing documentation.
Support field staff with timesheet processing and ensure timely submission.
Generate purchase orders, check incoming goods, and manage stock control.
Ensure job documentation, technical reports, and invoices are processed correctly and in a timely manner.
Maintain registers for tools, training, vehicle inspections, and compliance records.
Assist with general administrative duties, including branch coordination and housekeeping.
Escalate customer concerns or operational issues to management as needed.
Skills and Experience Required: Previous experience in administration, customer service, or service coordination.
Strong organizational and time-management skills with attention to detail.
Excellent written and verbal communication skills, including active listening and problem-solving abilities.
Ability to work in a fast-paced environment and prioritize multiple tasks.
Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and experience with service management software is highly desirable.
A proactive and team-oriented mindset, with a strong customer service focus.
A current and valid C Class Driver s License .
