The role
The primary purpose of this role is to act as the first point of contact to welcome customers and employees, to respond to phone and general inquiries, and to coordinate administrative, mail and facility management activities safely, effectively, and efficiently in accordance with security procedures, internal protocols and customer service expectations.
Main responsibilities
Greet and direct visitors, ensuring minimal waiting periods and adherence to security procedures. Manage email and phone inquiries according to Allianz communication standards. Facilitate meeting room bookings, ensuring spaces are clean and presentable. Handle incoming mail and deliveries in compliance with Allianz and legislative requirements. Arrange catering for meetings and events and assist users with audio-visual equipment in meeting rooms. Oversee access passes and locker management, and manage site facility operations, including maintenance, safety, and sustainability programs. Actively seek opportunities to expand expertise and develop new skills, growing professionally within the organization. About you
Possesses a strong understanding and experience in managing facilities and property management functions, including mail handling in complex organizational structures. Offers excellent written and verbal communication abilities, with a focus on delivering high-quality customer service and maintaining a professional demeanour in all interactions. Exhibits a proactive work ethic with exceptional organizational and time management skills, ensuring tasks are completed accurately and efficiently while maintaining high attention to detail. Demonstrates proficiency in Microsoft Office and AV systems, with the capability to quickly learn and adapt to new software applications.
