Reporting to the Area Manager, your key accountabilities are: Be the first point of contact and attend to visitors, including SDN families and staff from other organisations.Attend meetings, training, and forums for the purpose of providing administrative support, including arranging catering, and ensure accurate and timely minutes for all meetings required to attend for example, team meetings.In collaboration with your Program Administrator colleagues, manage the daily functions of all Family Preservation and Support offices and monitor the purchasing of goods/services, brokerage requests, petty cash, and invoicing (IPOS).Ensure all Safe Care Providers have access to a stock of the printed resources they always require.Manage all enquiries in a timely manner, including but not limited to referrals and emergency calls from families according to the triage phone system.Ensure all income is accurately recorded, receipted, banked, and that all payments are properly authorised and accurately recorded.Maintain SDN's fleet of vehicles across the Family Preservation and Support Services ensuring they are booked in for services, organising repairs and cleaning when required.Complete all data in a timely manner and maintain timely records on the Client Management System (CMS), relevant databases and registers, ensuring information is entered accurately and generate reports as and when required.Be responsive to the need to remediate data.Organise and coordinate the ordering, setup, maintenance and replacement of IT equipment and other staff resources across the Family Preservation and Support Services.Monitor staff whereabouts for safety and follow safety protocols if staff are not contacted within relevant timeframes if the Work Safe Guardian App becomes non-operational.Complete accountability and compliance documents including risk assessments and evacuation procedures.Ensure compliance with all relevant licensing, regulations and legislation including but not limited to program service provisions and practice standards, Child Protection legislation and SDN policies and procedures.Positively engage in core program learning and development specific to your role with a commitment to embedding new learning in your practice and sharing learnings with your team.Ensure that any system or administrative barriers or inefficiencies to staff's work are identified and raised with recommended solutions.Respond to any changes in your role as required by Government Reforms.Perform any other duties as requested by your manager consistent with the position.About you Diploma of Community Services (preferable).Strong administration experience.Demonstrated ability to build constructive working relationships with internal and external stakeholders.Excellent written and verbal communication skills.Proficiency in Microsoft Office 365.High attention to detail.Hands-on experience in using computerised accounting and invoicing packages.Demonstrates professionalism and the ability to maintain confidentiality.A current Working with Children's Check (WWCC) and National Police Check.About our benefits Professional training and
