Staff access to gym and fitness facilities Live and work on the Gold Coast Job Description The position is extremely varied, covering a wide range of responsibilities, both clerical and practical. In most cases, you would be supporting a key staff member in facilitating any given task. Sport coaching experience will form part of the role, depending on skills and experience.
Administration/General:
Sport Reception Desk (Phone, Email, Students, Parents, Coaches) Email enquiry responses and forwarding Assist with management of the Clipboard online platform and the weekly cross-checking of logistical sporting details (i.e. venues, opposition teams and bus arrangements) Assist with cross-checking of weekly APS sports results and following up of discrepancies Post regular sports updates and news to Schoolbox as requested by the Director of Sport Assist with managing student nominations and paperwork for District and Regional Sports Trials. Approximately 90 trials throughout the year Assist with Schoolbox posts and updates about District and Regional Sports Trials Maintain a digital record of student sporting achievements for awards and publications Manage badge, medallion and trophy stocks and engraving for awards events Accounts Payable and supplier invoice management- in collaboration with the Business Office Arrange Charter Bus Bookings for weekly sport, carnivals and broader schools competitions – in consultation with the Director of Sport Assist the Director of Sport with compilation of sports training schedules and rosters Coordinate and be a central point of communication for the onboarding of coaches and volunteers to the school electronic system with respect to personal details, payroll information, blue card check, coaching qualifications, time sheets and other associated paperwork Prepare, maintain and distribute coaching and referee handbooks Sports Calendar maintenance on Schoolbox and shared outlook accounts Instagram Posts – announcements, student achievements, highlights photos and videos on a regular basis in consultation with the Director of Sport and Assistant Director of Sport Sports Awards Night - on-day set up, ordering flowers, resource bookings, VIP RSVPs, assist with coordination of rehearsal & organise student helpers Maintain photographic honour board and on-campus feature sporting posters Coordination of Sports Afternoon Teas - Ordering & Preparation of food for coaching staff on Thursdays and Fridays General maintenance and management of shared meal space, kitchen facilities and food and drink supplies along with fellow staff in the Sports & HPE building Maintain and order stationery for the Sports Department Practical Sport Duties:
Assist with set up courts/ovals - score boards, post padding & equipment Assist with Sports Storeroom Maintenance during busy periods of the year – assist with overseeing equipment systems, equipment purchasing, collection & distribution Assist with preparation of kits and gear for teams and training during busy periods of the year Lunchtime Borrowing - Oversee duty-rostered senior students who issue and record the lending of sports gear at lunchtimes. Follow up unreturned equipment Carnival Duties
Perform general Swimming, Cross Country and Athletics Carnival duties as required Oversee Swimming & Athletics ribbon writing (JS & SS) Order and manage medals for annual carnivals Coordinate Catering for Major Carnivals and other on-campus sporting events – specifically food and drinks, morning tea and lunch for staff and other carnival officials. Student supervision
When required, supervise sporting teams and conduct training sessions for absent teaching staff (within the scope of personal sporting background and coaching ability) Carry out student supervision of any nature on behalf of the Director of Sport. Desired Skills and Experience The Sports Assistant requires a Certificate III in Administration or equivalent formal qualifications.
Additionally, a secretarial/administration background with a good knowledge and genuine interest in sport is needed.
All Emmanuel College staff must be eligible to work in Australia, hold (or be eligible to hold) a Blue Card and be CPR certified. A current driver's licence is required.
Experience in coaching youth sports with corresponding coaching qualifications would also be advantageous.
