About the Office of General Counsel
The Office of General Counsel (OGC) is a division within Western Sydney University, responsible for providing independent legal services to the university across various activities.
OGC works collaboratively with its clients to produce viable and tangible solutions that align with the university's goals and appetite for commercial and other risks.
It also plays a significant role in the development and review of university policies to ensure sound governance and statutory compliance.
About the Opportunity
We are seeking an experienced administrative professional to join our dynamic team in the OGC.
The successful candidate will be responsible for managing a broad range of administrative operations in a high-volume legal environment.
This is a full-time, ongoing position based at Western's Parramatta South Campus.
Key Responsibilities:
* Provide effective and efficient administrative support to the University General Counsel and Office of General Counsel lawyers.
* Manage reception, triage legal emails and inquiries, and ensure smooth operations.
* Support the legal team by organising meetings, booking rooms, coordinating catering, and handling mail and courier services.
* Assist with legal document preparation, research, and matter management.
* Maintain electronic and hard copy filing systems in alignment with university policies and legal requirements.
* Contribute to the preparation of training materials for OGC's contract management courses.
* Provide assistance in responding to subpoenas, statutory notices, and privacy-related requests.
* Administer the OGC intranet site and support office-wide administrative tasks.
About You
To excel in this role, you will need:
* Relevant education, training, or experience in administrative support within a legal practice as a conveyancer, paralegal, or administrative assistant.
* Strong attention to detail and ability to manage administrative processes with precision.
* Capability to interpret and apply policies and procedures effectively.
* Excellent organisational and time management skills, with the ability to juggle competing priorities in a busy environment.
* Proactive approach, sound judgment, and ability to work both independently and collaboratively.
* Exceptional communication and problem-solving skills, with a tactful and professional demeanor.
* Proficiency in Microsoft Office and Adobe software packages (Word, Excel, PowerPoint, Visio, SharePoint, Outlook, Adobe Acrobat X Pro).
