The Executive Support Officer plays a key role in providing comprehensive, highly organised, and client-focused administrative and executive support services that are both professional and personalised and at a level of confidentiality.
Your role will provide support directly to the Assistant Commissioner, Community Corrections as well as the Executive Leadership Team. Duties will include provision of confidential, executive and secretarial support including diary management, email management, managing meetings, booking travel, and IT/equipment maintenance.
There will be the requirement to undertake duties as requested by the senior executive and may include business support activities including financial and human resources administration as required.
In this role you will:
- Proactively manage all administrative functions of the Assistant Commissioner, Community Corrections through effective diary management, monitoring and distribution of correspondence, and records management.
- Coordinate meetings, functions and associated agendas including meetings with senior internal and external stakeholders.
- Monitor timeframes to ensure all necessary action/follow-up and responses are completed in a timely manner.
- Work autonomously utilising discretion in resolution of conflict, meeting deadlines, establishing work priorities and organising meetings.
- Prepare correspondence and documentation using appropriate departmental formats and templates
- Undertake diary management and activities coordination by making appointments and arrange travel for the Assistant Commissioner, Community Corrections and other members of the Executive Leadership Team.
- Exercise judgment and resourcefulness to solve immediate problems.
- Provide high level secretarial and administrative support to management, exercising comprehensive computer and keyboard skills in email, word processing, database and spreadsheet applications.
- Use information management systems including administration, human resource and financial management systems, to process information and produce reports.
- Prepare draft correspondence replies and reports and maintain an efficient information management system for all communication.
- Coordinate the records management activities, including records of incoming correspondence and other requests and monitor the flow of correspondence; providing advice and training in records management to other personnel.
