**Project Support Officer Role Summary**
We are seeking a highly organized and detail-oriented individual to provide comprehensive administrative and secretarial support to our project management team. This role is responsible for ensuring smooth project operations and adherence to company procedures.
Key Responsibilities:
* Prepare and draft project correspondence, meeting minutes, reports, and other documents for approval and distribution.
* Draft progress claims, variation requests, extension of time claims, and certifications for consultants and contractors; issue once approved.
* Draft tender and contractual documentation, verify tenderer eligibility, and coordinate tender documentation and addendum issues.
* Administer project document and record control systems, ensuring proper filing and retrieval of hard and soft copies, updating registers, and maintaining archived files.
* Ensure timely distribution of project-related information to clients, consultants, contractors, and other stakeholders while maintaining confidentiality.
* Assist with handling incoming emails and respond as required.
* Provide general office administrative support to the team as needed.
* Support internal audits by documenting findings and following up on action items.
* Ensure compliance with company policies and procedures and maintain high standards of office practice and ethics.
Experience, Skills, and Personal Attributes:
* Previous experience in the construction industry or engineering consultancy is highly advantageous.
* High level of computer literacy, including proficiency in the Microsoft Office suite and editing PDFs. Typing speed of 40+ words per minute is required.
* Familiarity with UniPhi and/or Microsoft suite of documents is highly regarded.
* Exceptional attention to detail and accuracy, with the ability to proofread and edit both your own work and that of others.
* Demonstrated self-motivation, flexibility, and the ability to work autonomously while being a supportive member of the team.
* Conscientious, reliable, and committed to high standards of personal presentation and work performance.
* Strong written and verbal communication skills, with the ability to interact professionally with a diverse range of internal and external stakeholders.
