Purpose of the Role:
She/He is responsible of liaising with vendors to ensure timely delivery of goods, coordinating with internal and external stakeholder to meet the project deadlines, responsible for communicating with vendors and transporters and shipping companies to ensure that all critical deliveries arrive on time, keeping track of deliveries of purchase orders, movement of material.
The Expediting & Logistics officers is an individual tasked to oversee goods shipment and delivery in the job site, by organising the logistic activities including; International shipments, local Transportation in accordance with CoR Compliance, and implementation of the company's systems
She/He is responsible for updating records on (WES Expediting Tool) for assigned Purchase orders or suppliers (Materials, Spares, P&E), maintaining updated delivery forecasts, escalating issues, granting adherence to delivery dates agreed in the PO’s.
She/He shall liaise with end users for delivery schedule.
She/He shall manage Improvement plans where opportune / necessary, and act in accordance with the company directives.
Detailed procedure for expediting:
7. Upon receiving Purchase order/delivery order, check for the Payment terms, Material Descriptions, and delivery schedule.
8. In case of advance payment, expediting officer is responsible of arranging the invoices from supplier and send through accounts for processing the payment, and follow up until payment is done.
9. Expediting officer is responsible to ensure the deliveries as per the contractual/agreed delivery dates.
10. Time to time follow up with supplier for deliveries and updating the Access Database on daily basis. Also expeditor is responsible to provide the updates to end user about the material delivery.
11. Upon receiving pre-alert for deliveries, expeditor is responsible for sharing the pre-alert with warehouse team.
12. To update the ETA/ETD in WES Expediting Tool.
13. Ensures deliverables are completed accurately and on time
14. Undertakes works in a manner that is consistent with the overall Project goals and meets the timeframes specified in the Project schedule
