About the role:
The role of the Senior Supply Chain Coordinator is to manage the planning and coordination of all inbound shipment deliveries into the DBG warehouses and the efficient and accurate receipt of those shipments onto the ERP system. Additionally, the role is to manage and report on all inventory related supplier and customer claims.
Role & Responsibilities:
* Work with/manage the import service providers, shipping companies, and freight forwarders and related government bodies to ensure that Arrotex delivers a consistently high service level of product service to customers.
* Manage communications with import and export related authorities, suppliers/manufacturers, service providers and customers across relevant territories and countries as necessary to ensure the time efficient, cost effective and compliant movement of products and materials.
* Maintain and share with related colleagues as appropriate, knowledge of all relevant import and export regulation, law, tariffs, duties, licenses, permits and other import, export requirements so as to aid the business in its effective operation.
* Anticipate, research and report on future changes in import/export laws and ensure that such knowledge is shared so it can be factored into the planning of business operations.
* Plan, coordinate and manage the international import transportation arrangements of multiple product consignments from manufacturing plants worldwide through to the Arrotex 3PL distribution centre using the most cost-effective time efficient methods. This includes providing a recommendation for the mode of transport (air or sea) and ensuring Community Protection Questions and Mandatory Declarations are available and updated.
* Ensure that all shipment documentation required for pre-clearance is provided to the customs broker in advance of shipment arrival. Monitor the open orders in the ERP system in advance of orders due, liaise with the planning group on the most up to date information and ensure that the shipment for available product produced is arranged either by the supplier or by Arrotex with the minimum delay following release.
* Check and authorise freight forwarder and cartage invoices. Reconcile the statement against the standard rates schedule. Follow through on any discrepancies with freight forwarder for resolution.
* Maintain a structured filing system both electronically and hard copy.
* Assist Finance with requests for information from Arrotex auditors for the year end audits.
* Undertake an investigation for all temperature excursions to understand where and when the excursions occurred and work with supplier and freight forwarder to reduce/eliminate future occurrences.
* Maintain/develop standard operating procedures (SOPs) and work instructions for all current and new tasks involved in this role.
Skills & Experience:
* Intermediate knowledge in a supply chain role. Ideally this experience is gained within manufacturing or FMCG company.
* Knowledge of supply chain best practice and the ability to implement that vision within an entrepreneurial environment.
* Supply chain knowledge of systems and processes from supplier to consumer.
* Strong administrative and office coordination skills, with the ability to provide extensive level support to the team and stakeholders.
* Excellent / Advanced written, verbal and listening communication skills – produces well thought-out, professional written correspondence free of grammatical and spelling errors; speaks with confidence, clarity and is easily understood; active listening to effectively receive, interpret and analyse information.
* Strong collaboration and communication skills (written and verbal), with the ability achieve work activities through and with others.
* Able to effectively plan and prioritise both regular tasks and project work keeping track of progress and managing effective bring forward systems.
* Excellent multi-tasking skills, with the ability to pivot concentration smoothly and entirely from one activity to another.
