OVERVIEW
Our Federal Government client is currently seeking an experienced Course Coordinator to join their team at the APS4/5 level. Within this role you will manage course schedules, handle student inquiries, assist facilitators, and ensure compliance with institutional and academic policies of the entity.
YOUR RESPONSIBILITIES
* Course Planning and Scheduling: Manage course schedules, ensuring alignment with academic calendars and guidelines.
* Facilitator Support: Act as the primary point of contact for faculty managers and facilitators, providing administrative support, ensuring course materials are prepared, and assisting with classroom and online setup.
* Student Engagement: Respond to student inquiries, provide guidance on course-related issues, and facilitate communications between students and the department.
* Course Evaluations and Feedback: Administer and track student course evaluations, gather feedback, and provide reports to faculty managers and administrators as required to ensure continuous improvement.
* Resource Coordination: Coordinate course resources such as textbooks, digital material and any additional instruction tools needed by facilitators.
* Learning Management System (LMS) Administration: Assist in the administration of the department, LMS, including uploading course materials, tracking student progress and basic troubleshooting.
* Academic Report Maintenance: Ensure accurate record-keeping of course rosters, grades and other essential academic documentation.
* Financial Management: Assist with financial tasks such as tracking expenditure, processing invoices, and managing payment to external vendors. As required (but rarely) assist in reconciliation of accounts and preparing financial reports and forecasts.
* Procurement and Contracts: Assist in procurement activities and manage vendor contracts with department policies.
* Concierge and Support Services: Provide concierge support to facilitators, or visitors, including managing logistics and catering.
* Administrative Support: Perform a variety of general administrative tasks, such as record-keeping, filing and handling correspondence, and ensuring smooth day-to-day business operations (including management of shared mailboxes).
* Other Duties as Assigned: Undertake additional responsibilities as required to support the broader objects.
EXPERIENCE / REQUIREMENTS
* Experience in course coordination or academic administration including strong attention to detail.
* Proficiency in LMS administration or ability to quickly learn.
* Effective stakeholder management with effective verbal and written communication.
* Adaptability to change, including the ability to multi-task and prioritise.
* Excellent organisational and multitasking ability.
* Competency in financial tasks, budgeting, and procurement (desirable).
* Negative Vetting 1 required.
