Executive Assistant Permanent full-time opportunity Melbourne based opportunity Hybrid working supported The opportunity Silverchain are currently recruiting a highly experienced Executive Assistant to join the Strategic Communications/Research & Innovation teams on a permanent full-time basis.
This role is supporting two Executive Directors across the portfolios of Strategic Communications, Research & Innovation, East Coast Health and Silverchain Foundation.
The right person for the role will deliver high quality administrative, project, budget management, and communications support with excellent attention to detail, strong written communications skills, discretion, and excellent interpersonal skills.
Key responsibilities Some of the major accountabilities are: Effective and quality administrative support to the relevant Executive Directors.
Take ownership of tasks and projects, ensuring they are completed efficiently and effectively without the need for constant supervision.
Liaise with and act as conduit between senior managers and stakeholders, colleagues and clients on a variety of organisational matters including facilitation of meetings, travel, action items and communication.
Liaise with external stakeholders important to Silverchain on behalf of the Executive Directors.
Contribute to and implement continuous improvement activities to streamline processes and facilitate administrative efficiency.
Monitor and process employee onboarding and other HR documentation to ensure timely and accurate processing.
Provide financial administration to the Executive Directors to assist business unit objectives.
Support the coordination of functions, events, travel and catering to ensure the effective running of Silverchain Group events.
Integrate information from various sources to prepare draft briefing papers, reports, letters, presentations and other documents.
Prepare professional correspondence on behalf of the Executive Directors.
Provide executive support for portfolio-related committees and project teams, including the preparation of agendas, minutes and meeting papers.
Coordination and follow up of actions, briefings and correspondence.
Act as a key liaison with other Executive Assistants across the business; provide adhoc support to the Senior Executive Assistant to the Chief Executive as required.
About you The ideal EA will have demonstrated experience in a similar role and will be able to demonstrate the following attributes: Prior experience providing professional administrative and executive support services, with demonstrated capacity to maintain discretion and strict confidentiality in a busy and complex environment.
High level of relevant skills and work experience with Executives.
Excellent attention to detail and problem-solving skills.
Demonstrated ability at taking a lead role in decision making in accordance with established guidelines to effectively manage work tasks.
Demonstrated research skills to source information to develop and maintain up-to-date knowledge, materials, methodologies and services.
Highly developed communication skills.
High level time management and organisational skills.
Demonstrated negotiating and influencing skills to align services with the needs of multiple stakeholders.
Well-developed relationship building, stakeholder liaison and customer service skills to build and maintain effective relationships.
Understanding of the importance of confidentiality given the confidential and sensitive nature of information handled within this role.
Advanced skills in Microsoft Office suite, including PowerPoint.
