About the Role:
Full-time, 38 hours, 5 days per week
Permanent
Perth, hybrid working arrangements
The Senior Conferences & Events Coordinator is responsible for the successful coordination and execution of Conferences & Events at NDS. This involves:
Conferences & Events coordination and execution
Stakeholder management
Award program assistance
Key Responsibilities:
1. Event coordination
Book event venues, ensuring they fit within budget and meet accessibility needs.
Obtain quotes and book conference contractors e.g. audio visual, photographer, stand builder, florists, buses, interpreters etc.
Build and manage event websites and registrations and respond to delegate registration queries.
Creation and management of event documents.
Monitor and organise any required accessible participation requests i.e. Auslan interpreters, large print programs, hearing loops, captioning etc.
Management of virtual Events & Training.
Onsite event coordination, including lead coordination where required.
Post-event responsibilities including stakeholders and attendee communications, administrative duties, event debriefs, etc.
Administrative duties as required, including inbox management.
Assistance with reporting and data as directed.
2. Stakeholder management
Assist Manager with programming, and speaker logistics, including invitations, travel bookings and presentation assistance.
Assist with partners and sponsors as required and provide ongoing support.
3. Award program assistance
Assistance with creating and maintaining Awards nomination platform (AwardsForce).
Judges’ administration, including invites, creation of judging guides, and hosting of judging meetings.
Administrative duties including eligibility and governance checks, appropriate nominee communications, and logistics.
Other Responsibilities
Perform other duties and responsibilities as required by manager/supervisor.
Comply with NDS’s policies and procedures, including (but not limited to) HR, Quality, Work Health & Safety (WHS), IT, Security, and Data Privacy.

Skills And Experiences
Skills & Experience:
Demonstrated project management and administrative skills and proven capability to support multiple deliveries on time and on budget.
Highly developed interpersonal and communication skills including demonstrated ability to communicate effectively and maintain networks with a range of internal and external stakeholders.
Proactive, resilient and adaptable to change as needed.
Ability to work independently and cooperatively in a team environment.
Excellent attention to detail.
Initiative and willingness to take on new tasks and challenges as they arise.
Proven negotiation skills.
Proficiency with MS Office Suite and CRMs.
Experience with event registration systems (i.e. Zoom, MS Teams, EventsAir, Evexus).
A strong commitment to improving outcomes for people with a disability.
Willingness and capacity to travel independently.
Bachelor's degree in Event Management, or equivalent highly regarded, but not necessary.
