About the office
The office of the Deputy Vice Chancellor Academic leads the development, implementation, ongoing monitoring and performance of the University’s Learning and Teaching Strategy, Academic Programs and Student Experience, with a focus on key areas of curriculum innovation, digital delivery, equity and student and external engagement. The Office facilitates a fit for purpose, integrated and organisational wide approach to learning, teaching excellence, student experience and digital delivery aligned to University Strategy.
About the role
This position provides high-level, confidential support to the Associate DVCA & Registrar and the Pro Vice Chancellor Education. This is an important position that helps with strategic academic matters and supports key leaders in the university. The position reports to the Associate Deputy Vice Chancellor Academic & Registrar.
Key Responsibilities
* Provide confidential executive support to the Associate Deputy Vice Chancellor Academic & Registrar and the Pro Vice Chancellor Education, including managing emails, correspondence, visitors, and calendars.
* Assist with high-level meetings and committees, including preparing documents like agendas, presentations, and minutes, and following up on actions.
* Work closely with other teams to ensure smooth communication and support across the Office.
* Support the team in delivering projects and operational tasks, helping the portfolio meet its strategic goals.
* Maintain systems to ensure all executive support is consistent, compliant, and efficient.
* Contribute to the team’s goals by completing tasks accurately and on time and help improve processes and communication.
* Build good relationships with key stakeholders to ensure effective information flow and support the development of portfolio activities.
* Stay informed about relevant policies and practices to help organize and prioritize your work and solve problems that arise.
Qualifications, skills & experience
* A Degree qualification with subsequent relevant experience, or extensive experience and specialist or broad knowledge in technical or administrative fields, or an equivalent combination of relevant experience and / or education / training.
* Extensive experience in an executive support function in a complex organisation.
* Well-developed knowledge of contemporary executive administrative practices and issues, including experience in project management, sourcing and interpreting information and data and deadline delivery.
* High level written and verbal communication skills with attention to detail.
* Well-developed analytical and problem-solving skills that enable a high level of initiative and integrity on complex issues, with the ability to work autonomously to provide timely responses and creative solutions.
* Exceptional ability to maintain confidentiality, discretion and professionalism.
* Demonstrated understanding of university regulatory frameworks and governance processes.
* Demonstrated self-motivation and flexibility in responding to changing work priorities, with the capacity to work autonomously and collaboratively as part of a team.
* Ability to exercise independent judgement and initiative to constructively solve problems and make effective decisions based on knowledge of policy and procedures, relevant events and strategic priorities.
