The Role
Your main duties in the role as outlined below:
· Adhere to the safety protocols and policies of the organization.
· Report any issues with products, services, or procedures to the line manager or HSE Team.
· Verify that recycling and environmental regulations are followed.
· Oversee incoming tender requests, prepare tender documentation, and ensure all files are complete.
· Maintain CRM and tender filing systems current.
· Evaluate potential new project scopes and draft initial assessments.
· Oversee tender administration: organize documents, check formats for compliance, prepare logs, and complete subcontract forms.
· Carry out general administrative tasks: file documents, register and archive paperwork, and manage office supplies.
· Assist with Expressions of Interest (EOIs), handle client inquiries, and distribute marketing materials.
· Organize and draft meeting agendas for tenders, business development, and contracts.
· Coordinate IT and communication support for the regional office.
· Oversee the maintenance and management of State Office real estate and property.
· Handle day-to-day administrative duties for the regional office.
· Provide personal assistant support to the State Manager and manage clerical tasks.
· Perform front office tasks: welcome visitors, manage mail, set up meeting spaces, and direct calls.
· Arrange travel for staff and manage customer inquiries and interest.
About you
To be successful in this role, you will have a minimum of 5 years of experience in administration, demonstrating strong attention to detail and excellent communication skills with clients, both written and verbal. You will possess outstanding organizational and time management skills, along with a self-motivated attitude. Proficiency in MS Office applications, including Word, Excel, and Outlook, is essential. While an understanding of the tendering process is desirable, it is not mandatory. Any experience in construction, engineering, and a tender process would be a bonus.
