About the role We are seeking a dedicated and proactive individual to provide quality administrative support to the Airside Operations, Security and Resilience teams, and the broader Airport Operations business unit as required. Key responsibilities The role involves maintaining meeting schedules and diary commitments, ensuring timely dissemination of information, and coordinating and planning emergency exercises, events, and meetings. The successful candidate will ensure all Airport Operations regulated documentation, policies and procedures are maintained in line with company policy. This includes document control and distribution to internal and external stakeholders. You will ensure all enquiries are dealt with promptly and effectively with the ability to establish effective working relationships with all internal and external stakeholders. The candidate will be proactive and able to identify emerging issues that require organisation and attention within the context of the position. Responsibilities also include: Managing the annual calendar of meetings, ensuring all relevant stakeholders are informed with advance notice Providing administrative support at nominated meetings, preparing and distributing agendas and minutes within specified timeframes Document control, administration and distribution Providing administration and logistical support for emergency exercises at both Adelaide and Parafield Airports Administering the approval process for vehicles to operate airside Regular Drug and Alcohol Management Plan (DAMP) reporting Administering the purchasing process for the Airside Operations, Security and Resilience teams Coordinating travel arrangements and itineraries as required. The person Working closely with members of our Airport Operations business unit, we are looking for a friendly and reliable professional. The ideal candidate will take on requests and tasks with a positive approach and can work autonomously with strong attention to detail. The candidate can remain calm under pressure and possesses strong verbal and written communication skills, with the ability to communicate effectively. Additionally, the candidate will be a team player who is flexible and able to accept and handle a large variety of tasks. This role requires someone who can establish effective working relationships and maintain high standards of internal and external customer service. Skills and experience General office administration experience in a multi-task environment is essential. We are seeking a candidate with a minimum of 5 years' experience in an administrative role within a fast-paced environment - previous experience working within a regulated environment, particularly in the aviation industry and security and safety environment, would be an advantage. The ideal candidate will have experience using database management systems and administrative systems. High-level computer skills with a sound knowledge of Microsoft programs are essential, and experience with finance software (Technology 1) will be advantageous.
