What you will do
At Volvo Commercial Vehicles Australia (VCVA) you will contribute to the transformation of our company, the transport industry and society at large. Volvo Group Australia manages the manufacturing, distribution and operation of well-known brands such as Volvo Trucks, Mack Trucks, UD Trucks, Volvo Bus, Volvo Penta, Volvo Construction Equipment and Volvo Financial Services.
As a Retail Sales Coordinator you will plan, monitor, and coordinate the retail truck sales order to deliver process. From the factory to the customer, you will be an important connection, facilitating the our trucks to their final destination. This role is a parental leave cover for a period of 12 months.
Your future team
Reporting to the Truck Coordinator Manager, you are a natural team player, able to work between the sales team, purchasing and the local regulatory authorities, you naturally understand the importance of managing expectations and communicating between multiple stakeholders.
Your responsibilities include but are not limited to:
1. Check truck order pack to plan the order to delivery process, ensuring purchase orders and body slots are secured and confirmed in required timeframes to meet customer promised delivery date.
2. Raise and amend purchase orders as required for internal and external suppliers in line with authority levels.
3. Send purchase orders to internal and external suppliers according to the coordination timeline for the relevant truck.
4. Provide weekly and monthly forecasting documents to key stakeholders.
5. Advise internal and external supplies of priority / order list of trucks to be completed.
6. Daily contact with and coordination between suppliers throughout the order to delivery process, amending coordination plan as required to ensure optimisation of trucks to be delivered within agreed timeframe.
7. Advise dispatch release instructions and book transport for vehicle movements between suppliers, confirming with suppliers they are ready to take the truck.
8. Update coordination planning document as vehicle moves along in order to delivery chain and update with any adjustments or changes to the vehicle movement plan
9. Provide regular and appropriate communication on progress of truck order, identifying and managing risks to delivery to sales representative, sales administrator and sales management team.
10. Liaise with internal and external suppliers ensuring quality of work and deadlines are adhered to.
11. Proactively seek changes to build before the truck is released from the factory, replanning and advising relevant suppliers of changes as necessary
12. Monitor the demonstrator and loan vehicle calendar to ensure agreements dates are compiled or relevant agreements are updated.
