Job Description
This role provides essential administrative and clerical support while ensuring the smooth and efficient running of warehouse operations.
Key Responsibilities:
* Open service jobs in SAP, ensuring proper tracking and follow-up.
* Prepare invoices/proformas for internal and external service jobs and ensure timely invoicing.
* Order parts through SAP and BeQik2 systems, ensuring proper documentation and stock management.
* Organise medicals and site inductions for employees as required, ensuring compliance with all safety and operational requirements.
* Support with entering daily time sheets for service personnel, ensuring accuracy and completeness.
* Perform general clerical duties including answering phones, scanning, photocopying, filing, and other administrative tasks.
* Communicate with customers regarding invoicing inquiries, providing clear and timely responses.
* Support the HSE Officer in engaging contractors that meet business requirements and operational needs.
* Perform other duties as required to meet business and operational requirements.
* Ensure monthly completion of service invoicing is achieved within deadlines.
* Maintain effective communication with all business departments to ensure smooth operations and processes.
* Clean and maintain the warehouse and goods receiving areas to uphold high standards.
* Manage and maintain critical spares required for servo room activities.
* Process incoming goods, ensuring correct documentation is received and forwarded to the admin department.
Requirements
* Customer and mechanical background is highly desirable.
* Previous experience in a service coordinator or similar role is highly regarded.
* Strong attention to detail and high organisational skills.
* Must have experience working in a customer-focused role.
* Excellent communication skills and confidence in answering phones.
* Previous experience in a storeperson, warehouse, or inventory management role is highly desirable.
* Ability to work independently and as part of a team.
* Basic administrative skills and familiarity with documentation processes.
* Strong communication skills to liaise with team members and external parties.
* Knowledge of HSE procedures and commitment to workplace safety.
* Experience with inventory management software or basic computer literacy.
* Ability to lift and move heavy items safely (as required).
* Forklift license or willingness to get one.
* Sound computer skills.
