ABOUT THE ROLE Project Management Support Attend and participate in project handover meetings. Assist the Senior Project Manager in the preparation, processing and communication of project budgets. On an ongoing basis, monitor all items against budget, reporting any discrepancies to the Senior Project Manager. In conjunction with the Senior Project Manager, develop, implement, monitor and update construction programs for each project. Ensure each construction program/resources are entered into the Master Program in a timely manner. On an ongoing basis, liaise with the Senior Project Manager in relation to the current status of each project. Ensure that all project specifications & guidelines (e.g., council specifications) are understood and adhered to. Maintain Plan Registers, ensuring Site Supervisors, Surveyors and the Office personnel are working with complete and current versions. Respond promptly and professionally to requests for information from the Site Supervisors. Project Administration Update project day diaries on a daily basis, ensuring the "Cut to Fill Tracker" is utilised where applicable. All dockets/invoices for goods and services issued by suppliers and sub-contractors are to be verified for accuracy, cost coded and forwarded to the Senior Project Manager for approval, ensuring invoice tray remains empty at the completion of each day. Prepare/compile Project Folders ensuring sub-contractor documentation is obtained/evaluated for inclusion in accordance with the Company's Integrated Management System (IMS). Ensure all project documentation/correspondence (including filing) is completed in accordance with the Company's IMS. Ensure contract variations and EOT's are prepared, compiled and submitted for approval to the Senior Project Manager, keeping registers up to date at all times. Ensure purchase orders and sub-contractor agreements are prepared and executed as necessary. Month End Reporting Assist with the timely processing/submission of draft claims (inclusive of new variations) as determined by the contract. Monitor the progress of each draft claim with a view to gaining client approval and the timely receipt of payment certificates. Prepare/update "Cost to Complete" reports in readiness for Month-End Reporting. Ensure project forecasts are prepared and updated on a monthly basis. Safety / Environmental Management / Quality Gain a full understanding and working knowledge of the Company's Safety, Quality and Environmental Policies and Procedures. Liaise with EHS Officer & Senior Project Manager with a view to monitoring adherence to the Company's WHS&R and Environmental Policies and Procedures. Ensure all relevant safety/quality/environmental documentation is completed in accordance with the Company's IMS. Ensure that any incident relating to safety is formally documented and forwarded to the Company's EHS Officer for review and appropriate action. Ensure all action items identified in Project Compliance Reports are actioned/closed out in a timely manner. Keep the Senior Project Manager informed of any safety and environmental hazards identified. Ensure the timely preparation and ongoing review/maintenance of ITP's. Cross Functional Support / Training Be prepared to offer support and assistance to Company Personnel as required/requested. As required/requested, be prepared to carry out other duties and responsibilities. As required, become involved in on the job training of others. Participate in any other relevant/appropriate training programs as requested by the Company. Stay informed and up to date with current technologies available in the industry. The successful applicant will need to have excellent communication skills together with sound planning, organising and problem-solving skills along with the ability to read and interpret plans accurately.An understanding of WHS, Quality and Environmental Systems (Integrated Management Systems) is essential.Experience with Microsoft Excel and Project is required, and ideally, experience with IPS software.
