We are currently looking for a full-time Office Manager & Executive Assistant to join our team in Brisbane, QLD.
Reporting to the Head of Administration (Corporate Project Manager) at the head office (dependent on the local organization structure). The Office Manager’s primary responsibility is to manage general office support related matters.
Key Deliverables and Responsibilities
- Front of office support including greeting staff and visitors, answering the general office phone and providing general administrative support to all departments and/or employees;
- Coordinate outgoing courier shipments and distribution of incoming mail and packages;
- Manage the Company’s cell phone plan in co-ordination with IT including issuing phones as needed, monitor usage and suggest plan changes to meet business needs, assist employees with adding temporary coverage when they are required to travel, etc. Responsible for overall facilities management including:
1. Coordinating with the landlord and external vendors for repairs & maintenance,
2. Monitoring of the security system, issuance of security pass cards & be available after hours to be the first point of contact for the security company,
3. Maintaining and ordering office supplies, coffee/tea, first aid supplies, furniture, and general equipment;
4. Ensure proper functioning and maintenance of photocopiers and printers;
5. Ensure meeting rooms and kitchens are clean and tidy daily;
6. Assisting in updating the office layout and seating plan as required,
- Support WBE staff with regards to Wenco’s Travel Program
- Assist the Human Resources department with various activities including:
7. onboarding of new hires and first day orientation
8. being an active member of Wenco’s Joint Health & Safety Committee & Social Committee
9. arrange employee virtual wellness events, preparing and posting compliance information, assist holiday event set up, etc.
- Provide administrative support to multiple Executive team members
- Handle all communications (incoming and outgoing) and correspondence for Executive Team members, where requested
- Manage special projects upon request by an executive or your immediate manager (presentation decks, conference/event e planning, monitoring of progress of others’ projects, etc.)
- Daily Calendar Management
- Handle travel arrangements and expense reconciliations for Executive team members
Experience and Knowledge
10. 3+ years of experience in an Executive Assistant role supporting senior executives or progressive administrative experience of 5+ years
11. Experienced working in a role and environment which requires confidentiality be adhered to
12. Experience in event planning and coordinating.
13. Strong knowledge of Microsoft Office applications (Excel, Word, PowerPoint)
14. Knowledge of Adobe
