They pride themselves on delivering exceptional service and innovative solutions to their clients.We are currently looking for an experienced Pump Service Administrator to join our client's dynamic close-knit service team and support the administration of their pump servicing operations. This is a full-time position based at our Kalgoorlie office.Role Overview:The Pump Service Administrator will be responsible for providing essential administrative support to the Service Team, ensuring that pump servicing and maintenance operations are carried out efficiently and effectively. This role involves coordinating service requests, managing customer information, scheduling technician visits, and maintaining accurate records of all service activities.Key Responsibilities:Customer Service & Support: Handle customer inquiries regarding pump service, maintenance, and repairs. Provide timely responses and solutions.Scheduling & Coordination: Schedule and dispatch field technicians for pump servicing, ensuring adherence to agreed timelines and service level agreements.Service Documentation: Maintain accurate service records, including technician reports, job completion, and parts usage. Ensure proper documentation is entered into the system.Inventory Management: Monitor stock levels of pump parts and consumables, placing orders as necessary to support ongoing service operations.Billing & Invoicing: Assist with the preparation of service quotes, job orders, and invoicing for completed work.Reporting: Generate and maintain reports on service activities, including technician performance, service turnaround times, and customer feedback.Compliance & Quality Assurance: Ensure all services meet safety standards and are carried out in compliance with industry regulations.Qualifications & Experience:Experience: Previous experience in an administrative role, ideally within the service, engineering, or pump industry highly advantageous.Skills: Strong organizational and communication skills, with the ability to manage multiple tasks in a fast-paced environment.Software: Proficiency in MS Office Suite (Word, Excel, Outlook) and experience with service management software is a plus.Attention to Detail: Ability to maintain accurate records and manage data effectively.Problem-Solving: Strong problem-solving skills and ability to prioritize tasks to meet deadlines.Customer Service: Excellent customer service skills, with a friendly and professional demeanor.Knowledge of Pumps: Familiarity with the operation and servicing of pumps is highly advantageous, though not essential.Qualification: A qualification in administration, business, or a related field is a plus.How to Apply:If you are a proactive, organized individual with a passion for customer service and administration, we would love to hear from you!
