About the Role
As an Operations Administrator in Darwin, you will be a vital member of our Infrastructure Services team. Reporting to the Business Support Manager, your role will centre on works planning, invoicing, travel coordination, reporting, training, and fleet administration, aligning with our core values – safety, teamwork, integrity, delivery, and innovation.
Key Responsibilities:
* Administration of Maintenance Management System (MMS), maintaining accurate records and preparation of regular reports.
* Assist with maintenance works planning, including updating and distribution of weekly, monthly, and quarterly work plans.
* Creating, issuing, and closeout of work order records relating to maintenance works, equipment, vehicles, and training.
* Set up and ongoing administration of project records in integrated ERP systems, including project estimates, resource plans, and work tasks.
* Project invoicing in accordance with client specific requirements, within the monthly invoicing schedule.
* Assist in the preparation of weekly and monthly client reports.
* Logistical support of operations teams including coordination of travel and procurement requirements.
* Preparation of purchase requisitions and reconciliation of credit cards.
* Maintain relevant procedures and policy documentation.
* Coordination of vehicle servicing, repairs, and testing of duress alarms.
* Maintenance of equipment asset details in MMS and organisation of equipment calibrations, servicing, and repairs.
* General administrative support of Darwin office including general facilities coordination, mail/couriers, stationery, and kitchen supplies.
* Participate in internal audits and incident investigations as needed.
About You
To be successful in this role, you will be comfortable working autonomously and have willingness, energy, and drive to do whatever it takes and to 'think outside the box'. You will also have:
* Minimum 2 years administration experience in a similar role.
* Great time management and work planning skills, able to prioritise demands and meet deadlines.
* Attention to detail and tenacity to solve problems.
* Excellent communication and interpersonal skills with a friendly and approachable team player attitude.
* Intermediate MS Office Skills (MS Word, Excel, Outlook).
* Experience using a Computerised Maintenance Management System (i.e. Maintenance Connection, Maximo, MaintainX) advantageous.
* Experience using ERP finance systems and an understanding of corporate accounting processes advantageous.
* Minimum year 12 certificate or equivalent.
* Business Administration qualifications desirable, not mandatory.

Estimated Salary: $70,000 - $90,000 per annum.
