Open to one or two person Hire. Will include Saturday Mornings on a roster basis once trained.

Key arrears of responsibility - Reception
1. Customer Service
o Relate to the public in a respectful and unbiased way
o Greet patients warmly and making them feel welcome
o Give patients correct and adequate information about the practice
o Record and convey messages accurately with adequate information between the public and
o other staff
o Respond to the public on the phone in a polite and efficient way.
2. The appointment system
o Run the appointment system to practice specifications
o Maintain communication with doctors through the day
o keep appointments running smoothly, using initiative to intervene when needed.
3. The medical record
o Maintenance of patient confidentiality at all times
o Maintain computer filing system including Archiving.
4. The Billing system
o Billing of all patients’ accounts including; Medicare, Veterans, Workers Compensation, and Private accounts.
o Use of Tyro machine.
o Handling of money, banking and balancing. 5. Teamwork
o Work within a team showing respect and consideration for co workers
o Communicate effectively with team members
o Share responsibilities, handover tasks to maintain continuity of care.
Must be competent in the following duties and systems,
o Opening and closing the practice
o Pracsoft appointment book
o Pracsoft billing system
o Handling money, balancing and banking
o Taking telephone calls, messages
o Use of fax machine
o Use of the photocopier
o Sorting mail – incoming and outgoing
o Medical Director results section
o Filing and scanning
o Organising pathology – recording, pickups, bookings
o Follow up of patients via MD daily/weekly systems and work tray
o Recording cold chain data
o Basic infection control – Body fluid spills, handling sharps, contaminated waste
o Maintaining general tidiness and cleanliness of the surgery

1. Very strong sense of customer service, courteous and compassionate
2. Excellent organizational skills, ability to multitask
3. Good general computer skills, with good working knowledge of Pracsoft 4. Excellent communication and teamwork skills
All reception staff are accountable to the practice partners. The nominated partner for liaison with staff is Dr Charters – this partner is the initial point for all communication, feedback, including grievances. They are responsible for oversight of the reception team including disciplinary procedures.
However, all major decisions regarding staff are discussed and decided by consensus between the partners.
