Since 1990, we have supported the agricultural, horticultural, and viticultural sectors, helping farms, vineyards, and orchards achieve efficiency and productivity with our machinery expertise and support services.Purpose of the RoleAs the Administrative and Accounts Coordinator, you will be a crucial part of our day-to-day operations on a part-time basis of 2 days per week. You’ll handle a range of administrative and financial tasks that keep our office running smoothly and ensure compliance and accuracy in all records. From managing our calendar and emails to reconciling accounts and tracking job status, your work will support every facet of our business operations.Main Duties and Responsibilities:Calendar & Email ManagementManage the company calendar, coordinating and prioritising action items.Oversee emails, responding promptly and ensuring smooth delegation of tasks.Reconcile company bank accounts using Xero.Prepare and process payroll accurately and on schedule.Track monthly fuel consumption, prepare reports, and manage invoicing to sublets.Banking and Record KeepingPerform banking tasks, such as deposits and reconciliations, as required.Organise and maintain both hard copy and digital company documents for easy access.Operations and Process SupportMaintain job status updates for accurate project tracking.Regularly update and improve processes and procedures to increase efficiency.Keep employee records updated, including new starter information and employment changes.Track and report on company metrics by updating various operational spreadsheets.Document & Archive ManagementManage the pre-paid service register and ensure accurate service entry tracking.Organise archived hard copy files, keeping them accessible and in line with company protocols.This role is dynamic and may adapt over time to support the company’s overall objectives.Knowledge, Skills, and CompetenciesAdministrative and Financial Expertise: Knowledge of general administration, accounting, and bookkeeping.Customer Service Focused: Committed to providing exceptional service in all communications.Effective Communication: Ability to communicate clearly and adapt your style to suit different audiences.Attention to Detail: High accuracy in all written and record-keeping tasks.Commercial Awareness: Apply knowledge in a practical, commercial manner.Team Player: Willingness to support and collaborate with colleagues.Time Management and Organisation: Strong organisational skills to manage tasks effectively and within deadlines.Integrity: Capable of handling sensitive information with confidentiality.Personal AttributesProfessional and confident approach.Adaptable to change with a positive outlook.Ability to work under pressure while maintaining a high standard of accuracy.This role offers the opportunity to grow and develop with Marshall Machinery.
