Our opportunity
As Portfolio Administration Manager, you will be responsible for providing efficient and professional support to ensure the delivery of asset related administrative tasks across the portfolio of assets. This role requires attention to detail and the ability to work within tight timeframes, ensuring business productivity, efficiency, and governance.
Your responsibilities will include:
* Provide an exceptional customer experience by building strong relationships with key stakeholders (internal and external) and ensure a high level of communication by responding to, and actioning, requests in a timely manner
* Process and review for accuracy monthly tenant charges (recurring and sundry) and generate tenant rental invoices/statements with accompanying letter and supporting evidence
* Review and reconcile tenant accounts in accordance with business operational procedures
* Process all lease outgoing adjustments/estimates and generate outgoings letters and statements (including Marketing) in accordance with lease requirements and relevant State legislation
* Review monthly tenancy schedule lease information via lease audits and update as necessary ensuring 100% accuracy
* Raise purchase orders for Directly Recoverable and Non-Recoverable expenditure
* Collection of independent tenant arrears regularly being 7, 14 and 21 days each month including phone calls, email reminders and letters in accordance with set KPIs
* Ensure arrears collection commentary is regularly maintained and reported to both Portfolio and National Credit Control teams
* Process rent review increases in system and generate rent review letters
* Partner with Mirvac Accounts Receivable Team (OTC) to ensure all queries are addressed and unallocated cash is applied within 24 hours
* Ensure accurate data input of all lease related information and collation of associated documentation
* Review and manage lease-related documentation (leases, bank guarantees, insurance certificates)
* Verify and update non-financial Information, e.g. tenant contact details
* Actively contribute to project working groups across the business that deliver tangible outcomes for the division
* Work collaboratively with team members and stakeholders to ensure system/data integrity, efficient information flow and to drive portfolio wide excellence and efficiencies through consistency of approach, reporting and transfer of experiences and learnings
* Champion the consistent application of the key Mirvac values, leading by example and promoting a high-performing and collaborative environment
* Assist with any projects or undertake additional duties as required
Your point of difference
* 2+ years of experience in relevant property related role
* Ability to reconcile and understand tenant accounts
* Strong commercial outlook with previous exposure to Property Management tools, including MRI, Yardi and Salesforce
* A strong understanding of relevant legislation is desirable
* A high level of IT proficiency
* A customer-centric focus with the ability to develop and maintain exceptional stakeholder relationships, and liaise with people at all levels
* Exceptional organisational skills with the ability to prioritise work effectively ensuring deadlines are achieved on time
* Ability to adapt to change, deal with ambiguity and complexity
* Proactive and self-motivated mindset, with the ability to solve issues as they arise and to improve system and process efficiencies and effectiveness
* A commitment to quality, professionalism, confidentiality and attention to detail
* Exceptional communication (written & verbal) and interpersonal skills
