This role works collaboratively with the Office Manager – Melbourne, other Executive Assistants, and the Marketing team.Key ResponsibilitiesExecutive Support & Team CoordinationExecutive support to the Executive Team as required on diary management, meeting coordination, and responding to correspondence.Preparing GM and Group Executives monthly credit card statements.Preparing presentation material for GMs and Group Executives as required.Managing the Pallas Group owned apartment used by Directors including picking up dry cleaning, coordinating cleaners, and ensuring the kitchen is stocked.Providing executive support to Directors when they travel to Melbourne.Providing administration support to the Executive Group to help them manage their teams such as performance review meeting coordination, approval of expenses, and leave.Acting as the first point of contact for the GM/Executives, building strong relationships with internal and external stakeholders.Travel• Travel coordination in line with Travel & Expense policy for the Executive Group.Event Management SupportWorking closely with Brand, PR & Events Manager and Marketing team to deliver approved Events in budget and to a high quality.Booking restaurants and venues.Guest list support – RSVPs, dietary requirements, and logistics.Booking suppliers (caterers, cleaners, florists, service staff, etc.), as guided by the event manager.Workplace ExperienceSupporting the Office Manager in urgent situations to ensure guests and visitors are welcomed to the office.Assisting the Office Manager with meeting room bookings and coffee orders when it is busy, or where Executive Group members are involved.Assisting Office Manager with office moves as required.Desired Skills and ExperienceAbout youQualifications, Knowledge & Technical Prerequisites• Studies in business administration and/or management, desired but not essential.• Strong computer skills including MS Office and other related software.Experience• Previous experience in executive support.• Minimum 3 years’ experience in administration roles.• Previous experience in the property and/or financial services industries, desired but not essential.• Event management and planning experience.• Ability to prioritise incoming tasks and requests to ensure the GM / Group Executives focus on high-value activities.• Anticipate the needs of the GM / Group Executives and prepare relevant materials or briefings ahead of deadlines.• Ability to handle sensitive information with absolute discretion.The people are entrepreneurial, the business is young and proving itself fast: it is a great time to join the group.
